Operations Director

The Salvation Army Midland Division Corps in Springfield Missouri is looking for an individual who would like to apply their experiences to fill our Operations Director. This is a full-time position with starting pay at $63,000 - $67,000 per year based on education and experience.

Job Objective

As part of executive management team to serve as a resource to the Corps Officers, Directors, and program supervisors/managers in regard to personnel issues, policies, facilities, property, equipment, technology and other issues affecting operations. To ensure that the business practices are conducted with integrity in a moral and ethical manner according to Salvation Army policy and procedures. Responsible for direct supervision of business staff. Must be a team player and perform well with minimal supervision.

Essential Functions

Business



  • Provide business oversight to Corps, Shelters and Store operations.
  • Supervise, schedule, monitor, and evaluate work performance of Store Manager, Maintenance Manager, and Accounting/Administrative Assistant.
  • Partner with Social Ministries Director and Development Director to provide appropriate financial information and budgets for grant applications. Serve as primary grant fiscal manager, including financial oversight for grant funds acquired and expended.
  • Investigate and reconcile audit findings.
  • Review and submit all contracts with contract face sheets to DHQ for approval and signatures.


Finance



  • In coordination with Corps Officer, Department Heads and divisional accounting staff compile and present proposed budgets and periodic revisions for approval.
  • Prepare monthly finance reports and special financial reports as needed.
  • Track and analyze financial reports, reconciliations, budget variances and financial trends for all programs to ensure budget compliance; communicate significant discrepancies to Corps Officer and program heads. Communicate need for revisions to Corps Officer.
  • Process all receipts and process bills to include payment and accurate coding. Maintain records in accordance to Salvation Army policy.
  • Consult with Corps Officers and department heads regarding program needs and related budget requirements.
  • Monitor accounts payable to assure timely payment of all invoices.


Human Resources



  • Manage human resources. Oversee employee hiring including preparing position descriptions, posting jobs for hire in the system, assisting with interviews, gathering, and submitting paperwork for employees and prospective employees as needed.
  • Oversee employee training, including Safe From Harm. Advise other supervisors on training and disciplinary practices to ensure consistency and compliance with all Divisional, locals, state, and federal regulations.
  • Maintain accurate knowledge of Employee Handbook and its addendum. Ensure all employees have access to these documents and aid in answering questions to enhance compliance.


Property Management



  • Coordinate property & equipment matters including preventative maintenance, securing bids, overseeing construction/repair work, overseeing work of vendors, etc. Ensure compliance with all building code requirements.
  • Coordinate and attend property committee meetings. Take and distribute minutes.


Information Technology (IT)



  • Manage and maintain computer system, key system, security systems and camera systems, office phone system, internet, copy machine, Pitney Bowes, etc. for all TSA Springfield properties Maintaining computer network servers.
  • Workstations - set up users, install programs, upgrades, hardware and software maintenance and support as needed.
  • Train staff or arrange training for software and hardware as needed.
  • Recommend and requisition new equipment as needed.

Minimum Qualifications

Bachelor's degree in a business or management or related field. 4 years equivalent experience. Must have a valid driver's license and pass the Salvation Army MVR check. The BA must be able to work with and supervise a wide variety of personalities. They must be discerning and able to make sound decisions based on a variety of information and input. Position requires handling of cash - must be bondable. Must pass The Salvation Army background check. Must be willing to support The Salvation Army mission. Safe From Harm training must be satisfactorily completed within the first thirty (30) days of employment.

Knowledge

Proficient in Microsoft Office Suite in the O365/Teams environment. Knowledge of computer networking. Ability to learn new programs as needed. Excellent oral and written communication essential. Able to work well in a team environment while also having the ability to work independently. Must be able to handle multiple projects at the same time.

Physical and Working Conditions

Must be able to perform the duties of the job. Must be able to work in an office environment using a computer, answering phones, and operating office equipment. Must be able to work outdoors when needed in various weather conditions. Must be able to lift 25 pounds on a regular basis and up to 50 pounds on occasion. Must be able to work with a wide variety of people ranging from clients with potential personal issues to community and business leaders.
