Position Summary Information
Primary Purpose |
The Administrative Assistant is responsible for providing direct support and specialized services to the Dean's office, including assisting with managing accreditation and assessment processes; assisting with hiring of faculty; supporting faculty with scholarship awards and student evaluations; assisting with events planning, etc. |
Essential Functions |
- Assisting with faculty and student hiring, including assisting with updating job descriptions and posting positions, drafting hiring letters, graduate assistantship job ads, ensuring backend hiring processes (such as ePAFs) and paperwork are completed
- Assisting with timesheet review
- Helping to manage accreditation and assessment processes
- Assisting with the management of affiliate agreements
- Assisting with the management of office supplies, purchasing, and building maintenance
- Serving as fixed asset custodian
- Supporting faculty with scholarship awards and student evaluations
- Assisting with events planning
- Other duties as assigned

Minimum Qualifications |
- One and a half years (1.5) of post high school education with a minimum of 18 units of completed coursework.
- Two (2) years of work experience.
- Experience using Excel, Word, and SharePoint

Preferred Qualifications |
- Bachelor's degree
- Demonstrated customer service skills, in providing warmth, empathy, and responsiveness.
- Demonstrated experience working to improve processes to help serve students and faculty more effectively.
- Technical skills to manage electronic records, learn various university systems, and engage in extensive use of MS Office.
- Strong problem-solving skills.
- Strong written and oral communication skills.
- Experience with Banner, Argos, OnBase, Salesforce, and other university systems, processes, and policies.
- Experience in higher education
- Excellent attention to detail
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.

Hiring Range |
$20.16 - 26.70 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer. |
