Summary: Performs administrative duties for executive management including handling phone calls, scheduling travel and meetings both on and off site, preparing reports and financial data, working with other support staff and managers.



Essential Duties and Responsibilities:

Under general supervision, must be able to perform a variety of job duties including, but not limited to:



  • Responsible for high level administrative projects including creating presentations, compiling and tracking data Company data, creating letters and memos, publishing the company newsletter, creating graphs and charts for reporting purposes.
  • Organizes in-coming mail, correspondence and signature requests. Arranges essential mail in priority action order.
  • Handles all phone inquiries and makes the decision to pass the call along, or not. Arranges "callbacks" in accordance with schedule. Route calls elsewhere as needed
  • Schedules appointments and meetings (internally and externally). Reserves facilities, orders / sets-up refreshments and prepares agendas. Prepares trip itineraries.
  • Assures discreet and confidential handling of all business.
  • Screens visitors to control interruptions.
  • Follow all Senior policies and procedures.
  • Other duties with the work as assigned.

Education and/or Experience:



  • Bachelor's degree preferred.
  • 5 years of administrative assistant experience (manufacturing experience preferred).



Required Skills:



  • Language: Ability to communicate (verbally and written) effectively with all levels of employees within the Company, Corporate level employees (internal and external), vendors, suppliers and customers.
  • Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


  • Mathematical Skills: Ability to use and apply basic mathematics principles. Must have an understanding of basic accounting concepts.


  • Other Abilities: Requires strong computer skills, flexibility, and excellent interpersonal skills. Must be highly organized, have project coordination experience, and the ability to work well with all levels of internal management and staff. Must work well with outside clients and vendors. Must also have the ability to communicate effectively with Corporate level management. Must have excellent MS Word, Excel, and PowerPoint as well as Lotus Notes skills.

  • Personal computer, fax machine, photo copier, calculator, three-line telephone, and etc.
