JLL is currently seeking a dynamic individual for the role of Assistant Project Manager to provide reliable, timely, and professional support, and assist with day-to-day project management and move activities. The position entails working with a group of internal and external stakeholders at all levels of the organization. The successful candidate will require the necessary experience with minimal oversight to plan, prioritize, and organize a diverse workload.

Responsibilities will include all move related activity in the assigned region along with management of select projects such as restacks, VP Office relocations, AV improvements, FM/Engineering repairs and upgrades, interior fitouts, and minor renovations.

ESSENTIAL FUNCTIONS

  • Proactively manage project related issues on account or assignment
  • Be the single point of contact for all move management activities
  • Plan and manage successful relocations and manage the majority of a project by self and/or supervise move and other necessary vendors to perform project assignments
  • Ensure client satisfaction throughout the relocation management process
  • Ensure all relocation management activities are performed in a manner consistent with documented processes and in accordance with the client's and JLL's policies and procedures
  • Develop and implement relocation project plan, schedule and budget through collaboration with the facility, project and construction managers and ensure adherence
  • Develop and maintain project schedule in client's preferred format
  • Perform data input into required JLL and client systems to maintain occupancy information and ensure data accuracy
  • Ensure compliance with all key performance indicators
  • Receive and process client move requests
  • Participate in planning meetings hosted by the client, Occupancy Planning and other key stakeholders
  • Prepare/update project status reports, review invoices and ensure timely payment, update tracking reports and maintain files for due diligence and financials
  • Procure and manage move labor, including vendor/contractor bidding process, evaluate proposals and recommend selection of vendor/contractor
  • Incorporate "best practices" into relocation projects
  • Initiate and manage meetings to review move schedules with move vendors and key stakeholders
  • Manage supporting suppliers (technology, tele/data, furniture, etc.)
  • Ensure all project initiation, execution and closeout documentation are complete
  • Manage work order and small project management, including but not limited to furniture reconfigurations and space enhancements
  • Determine the pricing for any non-baseline work requested (i.e. construction-related needs, furniture reconfigurations, people relocations that exceed baseline parameters, etc.)
  • Plan, schedule and implement relocations, providing the main client contact with scheduled dates, move instructions, and move orientations for large groups as required
  • Provide move signage, general move directions, and be present on campus or at the move site, available to answer questions and resolve post-move issues
  • Initiate meetings to review move schedules with move vendors and key stakeholders
  • Manage the post-move help desk, update the post-move database and manage the status of punch list items to resolution
  • Plan and direct client file planning and mapping from source location to destination location.
  • Develop scope, schedule and budget for assigned projects and adhere to client KPI's
  • Identify and address areas of concern regarding potential risk surrounding project, project logistical issues, budget and scope
  • Actively track each aspect of project performance against schedules and critical path
  • Coordinate the activities of sub-contractors, general contractors and client vendors
  • Ensure that all accounts receivables are maintained at a level not to exceed approved capital budgets
  • Conduct and document all weekly meetings on assigned projects
  • Demonstrate proficiency in the use and application of all Project Development Services technology as required for assigned projects
  • Any other reasonable duties and responsibilities that may be assigned.

QUALIFICATIONS

  • Ability to prepare and track budgets
  • Understand client protocols and develop communication appropriate to the client environment
  • Communicate actively during meetings and other project related speaking situations with a focus on delivering the project on time, on budget and meeting the clients expectations
  • Manage written documentation and ensure that all deliverables are accurate and on schedule
  • Project confidence and reinforce client trust in the skills and knowledge of the team
  • Understanding of technical requirements for a relocation, construction, and renovation projects
  • Familiarity with architectural drawings and furniture and space planning concepts a plus
  • Able to adapt and prioritize, meeting deadlines, in a fast-paced team or independent environment
  • Outstanding interpersonal and communication skills (verbal and written) with the ability to successfully communicate with clients, architects, contractors, client's representatives, and other vendors and team members
  • Ability to be adaptable and be agile to client changes and requests.
  • Travel estimated at approximately 10%-15%
  • 3 - 4 years of facility, project or construction related experience in a Corporate Real Estate environment
  • Background in project management, construction management, architecture or project strategy planning is desirable
  • Bachelor's degree from an accredited institution
  • Proficiency with Microsoft Office Suite/Google/Project Management Applications
