Your role

As a Finance Administrative Assistant your mission is to be responsible for the support functions for IVS as it pertains to Billing, Invoicing, Inventory maintenance, & Customer Service. You will be given the accountability of maintaining critical Billing/Invoicing files & data. You will also support IVS within multiple facets of administrative maintenance. You will be looked upon to help maintain a positive and cohesive work environment & will be a critical piece in maintaining a high standard of customer service with outside clients & customers as well as internal stake holders. You will report to our Business Controller.


You will



  • Act as point person for the Service Schedule, review for accuracy of status, comments, and missing dates for service and sales.
  • Assist with obtaining POs according to the SAF-PO KPI/process instructions
  • Assist with Month End spreadsheets/reports for service and sales KPIs, and data collection
  • Maintain invoicing for the month - entries, mail/email necessary invoices
  • Enter A/P invoices, and maintain invoice journal for review and approval
  • Work closely with the General Manager, Business Line Managers, and the Distribution Center manager on inventory management

We are looking for you to have one (1) year of experience within an administrative support role with a focus on customer service. Billing/Invoicing experience preferred.



  • High School Diploma or GED Required. Bachelors' degree in Supply Chain Management, Logistics or related field preferred.
  • Strong computer skills required including Microsoft Word, Excel and PowerPoint.
  • Excellent communication, time management and administration skills

Hybrid
This role offers a hybrid working arrangement, allowing you to split your time between working remotely and being on-site at our IVS location in Tampa, FL.
