We are currently seeking a full-time in-office Administrative Assistant to work in our Tempe, AZ office.

POSITION SCOPE

An Administrative Assistant plays a vital role in supporting the organization by managing a variety of clerical and administrative tasks. This individual will assist with the weekly processing of vendor payables, ensure accurate record-keeping of field documents, and provide general administrative support to the team. Additionally, they may be responsible for handling correspondence, maintaining filing systems, scheduling meetings, and supporting other office operations as needed to ensure smooth and efficient daily functions

PRIMARY DUTIES



  • Scan/File work orders on the computer-based program
  • Maintaining databases, spreadsheets, and other records, and ensuring accuracy and confidentiality
  • Tracking deadlines, facilitating communication, and providing general support for various projects
  • Assisting with expense reports, invoice processing, and other basic financial tasks
  • Prepare routine administrative paperwork
  • Inputting and updating information in databases and spreadsheets
  • Deal directly with field employees
  • Process credit cards
  • Assist with miscellaneous projects
  • Assist with Administrative duties
  • Assist with receptionist duties including answering/routing calls, and greeting visitors
  • Work cooperatively with other employees
  • Handle sensitive information in a confidential manner
  • Perform other duties as assigned


REQUIREMENTS



  • High school diploma or GED
  • 2-3 years of experience directly related to the duties and responsibilities specified preferred
  • Ability to work under tight deadlines
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is required
  • Excellent communication, analytical and troubleshooting skills
  • The ability to adapt to changing priorities and handle a variety of tasks is important in a fast-paced environment
  • Knowledge of accounting and monthly invoicing procedures
  • Knowledge of supplies, equipment, and/or services ordering and inventory control
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and in a team
  • Maintaining confidentiality and handling sensitive information with discretion is often required
