Description
Role Summary: The Fulfillment Clerk plays a vital role in supporting operational excellence by handling all mail-related functions, document scanning, and payment processing. This position contributes directly to member service delivery and regulatory compliance by efficiently managing clerical workflows in collaboration with the Deposit Operations and Card Services team. The Fulfillment Clerk ensures timely and accurate processing of incoming and outgoing mail, legal documents, and member account updates, maintaining a high standard of confidentiality and professionalism. Key Responsibilities: Mail and Payment Processing
- Receive, sort, log, and distribute all incoming mail.
- Process outgoing mail with appropriate postage and dispatch timing.
- Manage return mail documentation and routing.
- Log, verify, and securely process mailed-in payments.
- Maintain organized and accurate records of mail transactions.
Scanning and Document Management
- Digitize documents for operational records and archival purposes.
- Accurately index and store files within the organization's document archive system.
- Retrieve scanned documents upon request from internal stakeholders.
Legal and Compliance Support
- Process levies by documenting, reviewing, and placing notes and holds on affected accounts.
- Gather and organize subpoena-related documents in accordance with legal protocols.
- Ensure timely processing of legal orders, including levies and subpoenas.
- Support audit activities by retrieving and organizing relevant documentation.
- Uphold confidentiality and security standards when handling sensitive documents.
Deposit Operations and Card Services Assistance
- Review notifications of deceased account holders and verify supporting documentation.
- Ensure accurate handling, imaging, and disposition coordination in partnership with relevant departments.
- Maintain secure processing of sensitive member information.
IRA Handling Assistance
- Assist with IRA-related mail and documentation processing.
- Support compliance and audit readiness through proper IRA record maintenance.
- Provide clerical support for IRA transactions and verification.
Qualifications
- Education: High school diploma or equivalent (required)
- Experience:
- 1-2 years of experience in clerical, mailroom, or fulfillment roles (preferred).
- Experience with document scanning, payment processing, or legal correspondence (preferred).
- Familiarity with deposit operations, IRA processing, or compliance practices (preferred)
- Soft Skills:
- Strong attention to detail in document handling and communication (required).
- Excellent organizational ability to manage competing priorities (required).
- Basic proficiency with scanning software, email platforms, and document management tools (required).
- Demonstrated discretion in handling sensitive financial and legal records (required).
- Clear communication and coordination skills for cross-functional collaboration (required).
- Effective problem-solving skills to address workflow discrepancies (required)
