Job Title: Inside Sales and Operations Coordinator (B2B Manufacturing)
Location: Elk Grove Village, IL (Onsite)
Classification: Full-time, Non-Exempt
Work Hours: 8am - 5pm
Reports to: Manager, Customer Engagement and Sales Strategies


Position Summary:
A global leading manufacturing company is seeking a highly organized and detail-oriented professional to join their team as the Inside Sales & Operations Coordinator. This role drives sales by handling customer inquiries and managing the entire sales cycle, from lead generation to order fulfillment. Responsibilities include processing orders, coordinating shipping, and maintaining an organized lead list. You will also analyze monthly sales data (POS) to support business growth and act as a logistics liaison for the Outside Sales team. This is a core position with the potential to grow into a broader leadership role in logistics, pricing, and data analysis.


Key Responsibilities:


1. Sales Development & Customer Engagement
* Manage the full inbound sales pipeline, including inquiries from phone calls, emails, web forms, and e-commerce platforms, using Salesforce/Hubspot to convert qualified leads into sales opportunities.
* Enrich and maintain the lead list by updating contact data, segmenting lists, and tracking lead status within Salesforce/Hubspot.
* Coordinate sample requests and follow-ups, and escalate complex technical questions to the appropriate team members via Teams/Slack.
* Work collaboratively with the Sales Team to identify and discuss new sales opportunities and strategies using Teams/Slack for communication.
* Serve as the primary point of contact for e-commerce customers, resolving product questions, order status inquiries, and other issues.


2. Order Management & Logistics
* Process and manage all orders with a high degree of accuracy, from initial entry to final release. This includes verifying pricing, terms, and product availability within Microsoft Dynamics 365 (Currently GP).
* Coordinate with warehouse and logistics partners to ensure timely and accurate picking, packing, and shipping.
* Prepare all necessary shipping documentation and labels for carriers using UPS/FedEx/USPS portals or ShipStation.
* Track shipments, manage Proof of Delivery (POD) requests and claims, and provide proactive updates to customers and the Outside Sales team.


3. Sales Data Analysis & Reporting
* Collect and analyze monthly Point-of-Sale (POS) data from distributors, normalizing and reconciling the information in Excel or Power Query.
* Create and distribute clear, actionable summaries on sales growth, gaps, and anomalies to the Sales Team.
* Develop and maintain sales dashboards and reports that provide end-user-focused insights to support sales development efforts, using tools like Power BI.


4. Logistics Support & Problem Resolution
* Act as the first point of contact for all logistics-related inquiries, including questions about lead times, routing, Incoterms, and HTS codes.
* Collaborate with cross-functional teams to proactively resolve delivery issues, aiming to reduce customer churn caused by logistics challenges.


5. Pricing & Market Research
* Assist with creating and managing price quotes, handling special pricing programs, and processing price deviations.
* Maintain accurate pricing records and templates in SharePoint/Drive to ensure consistent pricing and adherence to service level agreements.
* Conduct regular competitor pricing research and analysis to ensure the company remains competitive in the market. This may involve using tools like ChatGPT, Google, or Claude to gather and summarize information.


Qualifications & Skills:
Required
* 2+ years of experience in an Inside Sales, Customer Service Representative (CSR), or Sales Operations role within a B2B manufacturing or distribution environment.
* Proven familiarity with the order-to-cash process, including quoting, order fulfillment, and invoicing.
* Proficiency in Microsoft Excel, including PivotTables and lookup functions (XLOOKUP/VLOOKUP).
* Experience with ERP systems and common shipping platforms (e.g., UPS, FedEx, ShipStation).
* Exceptional communication skills, both written and verbal, with a strong commitment to follow-through and ownership.


Preferred
* Experience with distributor POS data analysis or sales dashboards.
* Familiarity with pneumatic components or other industrial products.
* Prior experience with pricing workflows.
