Purpose

The Staff Accountant plays a vital role in supporting the financial operations of the McCombs School of Business Foundation (MSBF), a 501(c)(3) supporting organization of the McCombs School of Business, which is affiliated with the University of Texas at Austin. This position supports both the Foundation and Texas Executive Education (TEE) through accurate financial transaction processing, reconciliation, reporting, and compliance. The role requires an individual who is detail-oriented, proactive, and able to manage multiple responsibilities while maintaining a strong commitment to accuracy and customer service and partnership. The ideal candidate thrives in a matrixed environment, communicates effectively, and enjoys improving financial processes.

Responsibilities

Financial Transaction Processing and Oversight

  • Manage accounting functions for MSBF and TEE, including vendor payments, customer deposits, instructor payments, payroll-related tasks, and other disbursements.
  • Track program-level financial activity to ensure timely and accurate processing of payments, revenue, and contracts.
  • Review and verify supporting documentation for all expenses, ensuring compliance with Foundation policies and proper coding.
  • Enter and maintain financial records in QuickBooks and reconcile to university systems and bank accounts.

Financial Reporting, Analysis, and Reconciliation

  • Prepare routine and ad hoc financial reports for internal leadership, external partners, and auditors.
  • Monitor financial activity for accuracy; resolve errors and discrepancies.
  • Reconcile general ledger accounts and perform month-end and year-end closing procedures.
  • Assist in preparation for the annual audit and with financial schedules for the Foundation's annual report.

Gift and Donation Processing

  • Process and track gifts and donations to the Foundation; maintain accurate donor records.
  • Prepare and distribute donor acknowledgement letters in coordination with development staff.

Communication and Stakeholder Coordination

  • Coordinate with TEE program directors, coordinators, and administrative staff regarding contracts, purchasing, travel, and entertainment expenses.
  • Maintain regular communication with the Financial Officer to provide updates, escalate issues, and confirm priorities.

Record-Keeping and Project Support

  • Oversee MSBF financial and administrative records, supporting fully electronic files using SharePoint and shared drive.
  • Participate in special projects related to financial systems, reporting enhancements, or process improvements.

Other Duties as Assigned

  • Support general business operations of MSBF and TEE as needed, particularly during periods of high volume or strategic initiatives.
  • May engage with MSB Foundation Board of Trustees members and meetings.
Required Qualifications
  • Bachelor's degree in accounting, finance, or a related field.
  • Minimum of 2 years of professional accounting experience.
  • Demonstrated proficiency with:
    • QuickBooks
    • Microsoft Office Suite (particularly Excel)
    • SharePoint (for program budgeting/monitoring and document management)
    • Online banking systems, including account transactions and remote deposit capture tools
  • Strong working knowledge of accounting principles, financial documentation, and reporting standards.
  • Excellent organizational skills, attention to detail, and ability to work independently.
  • Strong communication and interpersonal skills for working with internal and external partners.
Preferred Qualifications
  • Experience in nonprofit, higher education, or foundation accounting.
  • Experience supporting financial audits and compliance processes.
  • Accounting certification such as CPA, CGFM, or similar is a plus, but not required.
Salary Range
  • $55,000 - $60,000 + depending on qualifications.
Working Conditions
  • Standard office environment with in-person work expectations, potential hybrid work arrangement after on-boarding period.
  • Ability to work at a computer for extended periods.
  • Occasional evening or weekend work during peak periods or special projects.
  • This is an Austin, TX-based position

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
