POSITION OVERVIEW AND PRIMARY DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

Alutiiq Integration & Repair, LLC a subsidiary of Alutiiq, LLC has opportunities for Executive Assistant. This position will provide executive level administrative supporttoCode DT, NASA Research Park (NRP), by providing administrative functions with a high level of professionalism. This may include interpreting administrative policies; independently performing administrative functions that serve several divisional requirements. Ensure that the clerical and administrative portions of the Division's work are accomplished effectively in accordance with established procedures.



  • Answer phones, take messages and provide assistance to partners as needed.
  • Support visitors, request visitor badges and escort visitors as needed.
  • Schedule and support NRP meetings
  • Design, reproduce, prepare NRP documents, charts, spreadsheets, tracking documents, presentations, handouts and pamphlets as directed.
  • Coordinate and maintain NRP partner's mailboxes and key system.
  • Prepare, sort and distribute mail; assemble mailings (packaging and labeling); processing documents and packages for mailing.
  • Create and manage service requests (IT, building, etc.)
  • Develop and maintain distribution lists, rosters and phone/location lists.
  • Develop and maintain office calendars
  • Develop and maintain a listing of open NRP leases; provide status to customers as directed.
  • Develop and finalize official NASA correspondence
  • Manage office supplies; prepare order forms to maintain stock.
  • Serve as POC for Code DT MWR funds, track and report as requested.
  • Create, manage and upload all NRP Leases, including collecting approvals, mailings and updating status logs.
  • Provide event and conference support (bookings, notices, logistics, announcements, and coordination).


Payrate: $49.26 Hourly

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • Pursuant to the Government Contract, you must be a U.S. Citizen.
  • High school diploma required, associate's degree preferred, together with three years (3) of relevant administrative experience.
  • Clearance Level: Public Trust
  • Skill in advising and instructing subordinate or related external organizational entities concerning the required reporting and general clerical and administrative procedures of the Office, is required.
  • Skill in using a variety of office automation software programs such as email, word processing, spreadsheet, and slide presentation (MS Office Suite).
  • Knowledge of grammar, spelling, punctuation, and required formats, is required.
  • Familiar with engineering and scientific terminology and capable of typing technical data.

  • Bachelor's degree
  • Knowledge of the substantive programs and policies of the organization is preferred.
