Summary
The Billing Manager for the Division of Otolaryngology and Head and Neck Surgery (ORL) at Brigham and Women's Hospital is responsible for the daily billing activities of the Division. The billing manager optimizes the efficiency of our billing structures and ensures the timely filing of all referrals, prior authorizations etc.
The Division of ORL is a diverse clinic with outpatient appointments, clinic procedures and surgical cases. The division operates out of two hospital facilities and has clinic locations at BWH, BWFH and MGB FXB.
The Billing Manager not only oversees the daily billing operations but also oversees and manages the billing coordinator in their daily operations. The billing manager also partakes in submitting referrals and authorization for visits in conjunction with the billing coordinator. In addition to managing the billing coordinator, the billing manager is the education and trainer for the administrative staff to ensure that all schedulers and admins hold a level of knowledge related to billing and insurance companies.
The Billing Manager is ultimately responsible for creating a welcoming environment for all stakeholders, both internal and external. This critical position also leads with a patient-first service approach, while supporting staff, developing discussions, and continuously improving operations to the benefit of patients, employees, and clinical providers.
This is done in partnership with ORL leadership which includes the Division Chief and Sr. Administrative Director. The Billing Manager oversees the billing coordinator. The position reports directly to the Sr. Administrative Director.
Essential Functions
Manage and oversee the billing operations, ensuring accuracy and timeliness of billing information.
Develop and implement billing policies and procedures to ensure compliance with regulatory requirements and company standards.
Manage billing team, providing training and support to enhance their skills and performance
Collaborate with other departments, to resolve billing-related issues and improve processes.
Prepare and analyze billing reports to identify trends and make recommendations for improvement.
Ensure all billing-related documentation is up-to-date and accurate.
Manage and prioritize projects, assignments, and workload for the billing team

Overall Division Operations and Administration for Billing:
*Oversees day-to-day operations including operational and tactical management of all staff within the billing group
*Assists in creating resource tools for all billing and administrative staff in regards to referrals, authorizations, insurance coverage, out of network plans, etc.
*Assigns weekly volume of referrals and authorizations to billing staff including themselves to proactively obtain prior authorizations
*Creates strong systems of accountability for all team members
*Fosters an open-door environment where feedback is always welcome
*Monitors workflows for process improvement opportunities
*Develops systems and processes that satisfy the operational needs and billing standards
*Problem solves in real time for both patients and providers in regards to billing related concerns
*Provides supportive "troubleshooting" to patient representatives and clinical service area administrative and clinical management on complex billing needs
*Partners with leadership across all role groups on various new initiatives
*Builds strong working relationship with vendors and internal stakeholders such as our BWH Central Authorization teams, and insurance companies
*Participates in departmental and organizational meetings and/or improvement committees
*Learns basic functions of our administrative team to understand how they impact our billing operations
Human Resource Management:
*Responsible for overall management of billing support staff. Responsible for meeting service and customer service standard.
*Organizes and oversees work schedules and assignment of work to meet operation demands of the division. Develops and implements procedures to ensure efficient processing and allocation of work related to billing support.
*Performs the necessary hiring, orientation, performance evaluations, coaching and as needed termination of billing staff for the division.
*Completes weekly payroll, annual performance evaluations, and ensure mandatory HR screenings and trainings are completed in a timely manner for the designated division staff.
*Oversees any additional staff as needed.
*Meets regularly with staff in group and individual settings to foster a positive work environment and continue to evaluate staff needs.
Financial:
*Ensure monthly monitoring our billing KPIs (decrease write offs, denials, etc)

Education

Bachelor's Degree Finance required or

Bachelor's Degree Accounting required or

Bachelor's Degree Related Field of Study required

Licenses and Credentials

Certified Professional Coder preferred

Experience

Experience in billing or related field 5-7 years required

Billing supervisory experience 2-3 years required
