Job Details

The Director of Records Retention is responsible for designing, implementing, and managing the organization's records retention program to ensure compliance with legal, regulatory, and operational requirements. This role plays a critical part in the overall data governance strategy and works closely with the Enterprise Data Governance team to align records retention policies with broader data governance initiatives.

The Director will lead efforts to develop and enforce records management policies, oversee the records retention lifecycle, and ensure secure storage and destruction protocols for both physical and digital records. This position requires strong cross-functional collaboration with Legal, IT, Compliance, and other key stakeholders to support the organization's data governance objectives while mitigating risks associated with records retention and management.
This role will be part of the Legal and Corporate Affairs team reporting into the attorney responsible for data governance, privacy and cybersecurity.

Primary Duties and Responsibilities

  • Create and enforce records retention policies and procedures to meet legal and regulatory standards, including GDPR, HIPAA, Sarbanes-Oxley, and other applicable guidelines.
  • Partner with Enterprise Data Governance, Compliance, and IT teams to address emerging regulatory requirements and update retention policies accordingly.
  • Lead efforts to ensure records retention practices remain audit-ready and compliant with internal and external standards.
  • Conduct periodic reviews and risk assessments of records retention processes, recommending updates and improvements as needed.
  • Oversee the lifecycle of records, including creation, classification, storage, access, and secure destruction or archiving.
  • Partner with IT to implement and maintain records management systems and tools, ensuring they meet organizational needs for security, accessibility, and compliance.
  • Manage the transition of legacy records to digital formats when appropriate, and oversee the secure storage of physical records.
  • Respond to internal and external records requests, ensuring timely and accurate retrieval of information.
  • Collaborate with cross-functional teams, including Enterprise Data Governance, Compliance, IT, and business units, to ensure records retention supports broader organizational goals.
  • Ensure that records retention practices are consistent across all regions and comply with local regulations.
  • Manage other tasks as requested, including preparing board decks, presentations and generally assisting privacy and data governance program with project management as needed

Experience and Educational Requirements:

  • Bachelor's degree in Business Administration, Information Management, Legal Studies, or a related field.
  • Advanced degree or certifications (e.g., Certified Records Manager (CRM), Information Governance Professional (IGP), or similar) preferred.
  • 8+ years of experience in records management, data governance, or a related field, with at least 3 years in a leadership role.
  • Proven experience developing and implementing records retention policies in a complex organizational environment.
  • Strong knowledge of records management laws, regulations, and best practices, including GDPR, HIPAA, Sarbanes-Oxley, and ISO 15489 standards.

  • Proficiency in records management and document management systems, with the ability to drive system implementations and enhancements.

  • Exceptional communication and interpersonal skills, with the ability to influence and collaborate across all levels of the organization.
  • Demonstrated ability to lead and develop high-performing teams.
  • Project management skills, with the ability to manage multiple priorities and deadlines.

*This Salary Range reflects a National Average for this job. The actual range may vary based on your locale. Ranges in Colorado/California/Washington/New York/Hawaii/Vermont/Minnesota/Massachusetts/Illinois State-specific locations may be up to 10% lower than the minimum salary range, and 12% higher than the maximum salary range.
