Primary Purpose of the Organization:
The Office of the Chancellor provides support services to the Chancellor at Fayetteville State University. The Chancellor is the Chief Executive Officer of the institution and serves as the senior administrative leader and official spokesperson at both the local and national levels, as well as at the state and international levels. The Office of the Chancellor coordinates and supports the activities of the Board of Trustees, serves as liaison between the UNC System Office and the campus community, serves as the point of contact for various constituent groups served by the university, provides internal coordination and leadership on administrative matters and provides technical and clerical support to the Chancellor.
Primary Purpose of the Position:
The position will function as a special assistant to the Chancellor and provide high-level administrative and logistical support to assist the Chancellor in carrying out daily responsibilities. This includes serving as a focal point on Chancellor meetings and materials, managing more complex matters as assigned, reviewing and finalizing the Chancellor's reading and call lists, and otherwise performing a wide range of complex and highly sensitive projects for or on the Chancellor's behalf.

Duties and Responsibilities:

Management of Principle:
Works with the Chancellor to ensure coordination of meeting materials with the Chancellor's Office on a wide range of administrative tasks. This includes coordination primarily with the Chancellor's executive assistant on calendar and scheduling, and with the Chief of Staff to effectively support the Chancellor's requests. This may include working with key administrators to obtain background materials and other materials that are a part of the Chancellor's priorities. The Special Assistant will work directly with the Chancellor on specific requirements and customization of all meeting materials, including, but not limited to, presentations, agendas, and speeches. Serves as liaison and coordinates communication between the Chancellor and employees, students, donors, FSU-affiliated associations and advisory organizations, elected officials, and community members. This role will be responsible for coordinating the Chancellor's travel details and liaising with internal staff and external partners in planning, managing, and executing all Chancellor travel and events. This includes local and overnight travel, ensuring that all necessary logistics and arrangements are in place to make efficient use of the Chancellor's time.
Attendance at events is carried out in a highly professional and effective manner, and may require attending local and overnight travel with the Chancellor. The Special Assistant will also track all visits and meetings for communication and outreach purposes. Other duties assigned by the Chancellor.

Budget Management:
Assist with team coordination of the budgets for the Chancellor's Office, including projected costs for the subsequent year, and submit expenditure justifications. Maintain and closely monitor budgets to ensure sufficient funds to pay operational expenses for the Chancellor's Office. Along with the executive assistant to the chancellor, this position works with the Budget Office and the Division of Legal, Audit, Risk, and Compliance to ensure requested expenditures comply with applicable University and State policies. Ensure timely review and approvals of invoices, requisitions, etc. Meet with the Chancellor to discuss special budget requests, along with other key staff members within the office.

Special Projects and Assignments:

Assist with special meetings or projects related to the chancellor's participation, as assigned. Coordinates events, information, and communications between the Chancellor's Office and other campus offices. Coordinates with the Chief of Staff and the Office of External Affairs and Military Relations on advocacy matters. Plans, organizes, establishes, and maintains a usable and accessible data management, storage, and retrieval system for the Chancellor's Office.
Minimum Education And Experience Requirements:
Bachelor's degree.

Preferred Qualifications:
Experience working in an office setting and providing support for executives or management-level administrators.
