Description
The Coordinator, Hospitality & Engagement is primarily responsible for supporting hospitality, events and cultural efforts across the enterprise. This function contributes to the overall strategic priorities of the bank by creating environments that elevate the brand and its awareness, recognize Teammates, drive customer retention, support cohesive versus siloed structures and move from reactive to proactive. While staying true to the bank's core values of Caring, Committed and Courageous, this role drives the evolution toward modern and unique experiences with an eye for intentional details. This individual should be dynamic, creative minded, organized and able to be a strategic partner with some demonstrated experience in the hospitality and event management field. Position Accountabilities For Coordinator, Hospitality & Engagement specific duties:
- Work collaboratively, as well as independently, to produce a wide variety of events, including virtual, in-person and hybrid. Examples include:
- Teammate Road Shows
- Client and Prospect Appreciation Events
- Enterprise and Line of Business Awards & Recognition Programs
- Support pre-event components to include budget management, Request for Proposals (RFPs), venue selection, registration creation, audio visual coordination, lodging management, food and beverage selection, vendor management and attendee engagement (i.e. gifting, team building, etc.)
- Onsite coordination of vendors and venue
- Recruit internal teammates and volunteers, as needed, to support events and delegate necessary responsibilities to them
- Support post-event management to include reviewing invoices for accuracy, processing payments, and collecting event feedback and lessons learned
- Develop and maintain guides and repositories to provide Teammates across the enterprise with resources to self-service events
Other duties:
- Support enterprise events and engagement initiatives as able
- Teammate celebrations (retirements, year-end events, farewells, new hire welcomes, intern celebrations, retreats, team social activities, gifting)
- Departmental Offsites and All Hands
- Teammate group events
- Recruiting events
- Corporate Sponsorships and Marketing activation
- Community Impact initiatives
- Ensure efficiency, cost effectiveness, and modernization across events by proactively staying informed on industry standards, trends, and technology
- Maintain and innovate event resource request intake and workflow processes
- Maintain and innovate a vendor and partner reference guide resource
Organizational Relationship This position reports to the Hospitality & Engagement Specialist. This position works closely with the Line of Business Strategy and Sponsorships teams, as well as the individual lines of business. Position Qualifications Education & Experience
- 1-3 years of experience in event planning and/or event project management
- Proficiency in Microsoft Office platforms, including Microsoft Teams
- Experience with EventCreate, Cvent Webinar, SocialTables, and HubSpot preferred but not required
Knowledge & Skills
- Integrated thinking and creative problem-solving skills, including the ability to define problems, collect information, establish facts and draw valid conclusions with the agility to tackle in real time and provide clear recommendations
- Exceptional project management, time management, and organizational skills with the ability to maintain multiple workstreams and competing priorities at any given time
- Exceptional attention to detail
- Confidence to interact with executive management, Teammates, customers, prospects, vendors and other partners with professionalism and diplomacy, while achieving stated objectives and budget parameters
- High energy individual with ability to maintain perspective in moments of stress
- Ability to identify and leverage existing platforms and vendors for expanded usage
- Flexibility to work occasional nights and weekends
- Willingness to travel, mostly within Atlantic Union Bank markets
- Frequently lift and carry items weighing up to 50 pounds unassisted
Salary offered will be based on several factors including but not limited to education, work experience, certifications, etc. This position is also eligible to participate in either an applicable incentive compensation plan for the position or a discretionary profit sharing bonus program.
