Overview

The Group Rooms Coordinator is responsible for managing group room reservations and inventory for both Chateau Elan and Hampton Inn & Suites Braselton, through effective administration and attention to detail to maximize room revenue and ensure complete guest satisfaction.

Responsibilities:

  • Work directly with Reservations and Revenue teams to monitor and analyze Rooms Inventory utilizing Yield Management to maximize occupancy and increase average rate. This includes monitoring of group blocks, reviewing cut off dates, and managing rate restrictions.
  • Build group rates for both rooming list and call-in groups, including creating group web reservation links when necessary.
  • Process and handle group rooming lists and reservation requests by inputting data into the reservations system.
  • Calculate, prepare and bill group no-shows, early departures, attrition on a daily basis.
  • Calculate and prepare group commission payments for third party agencies.
  • Attend and co-lead weekly group pick up meetings with Sales and Events team.
  • Communicate both verbally and in writing to provide clear direction to staff and group clients.
  • Comply with attendance rules and be available to work on a regular basis.
  • Perform any other job related duties as assigned.

Qualifications

  • High school diploma required, and college degree preferred.
  • Prior reservations or front office experience in a full service hotel or related.
  • Ability to effectively deal with guest and associate concerns in a friendly and positive manner. This involves listening to the nature of the concern, demonstrating empathy with the customer and providing positive and proactive solutions.
  • Ability to access, read and accurately input information using a moderately complex computer system to include software such as Microsoft Office Suite.
  • Ability to make accurate mathematical calculations using 10-key.
  • Must have analytical ability to assess reservation trends and make related decisions.
  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
