Description

The Children's Home of Poughkeepsie has been caring for children throughout the Hudson Valley for over 175 years! We strive toempower children and families to achieve optimal health and well being.We are currently seeking aAdministrative Assistantto work in our Home Study and Post Release Services (HSPRS) Program.

Position Summary:

The Administrative Assistant is responsible for providing clerical and administrative support to the Home Study and Post Release Service Program Director and providing programmatic support to the team in the day to day operations.

Essential Functions and Responsibilities:




  1. Greets the public in an upbeat and friendly manner.



  2. Answers phones, receives faxes and appropriately relays/disseminates contacts/paperwork.



  3. Enrolls new clients into the internal database and assigns staff members to the cases.



  4. Responsible for processing check requests and recording and distributing petty cash.



  5. Hands in check reconciliation on a bi-weekly basis to the Fiscal Department.



  6. Orders office supplies and manages office forms and related paperwork.



  7. Ensures all orders are tracked in a Google sheet for reference and verification.



  8. Ensures sufficient physical copies of pertinent resources and information to support the Home Study and Post Release Workers.



  9. Schedules and coordinates meetings and assists HSPRS supervisors with staff scheduling as needed.



  10. Makes daily trips to the post office for outgoing and incoming mail by 4pm every day.



  11. Participates in rotating reception coverage for lunch and breaks and in the absence of the regular receptionist.



  12. Responds to file inquiries in the absence of the PQI Specialist.



  13. Disperses daily Case Actions to Clinical and Case Management staff in the absence of the PQI Specialist.





Schedule:Monday - Friday 8:30am-5:30pm, Saturday - Sunday OFF

Qualifications

MINIMUM Qualifications:




  • High School Diploma or Equivalent



  • Valid NYS Drivers license in good standing as determined by the agency



  • Must complete and pass a pre-employment physical, PPD and drug screen and an annual physical and PPD.




PREFERRED Qualifications:




  • Higher Education



  • Bi-lingual English-Spanish
