Job Summary: The Conference Services Manager is responsible for planning, coordinating, and executing conferences, meetings, and special events within the hotel. This role acts as the primary liaison between clients and hotel departments, ensuring all event details are communicated, organized, and carried out to the highest standard. The Conference Services Manager works to maximize guest satisfaction while also supporting the hotel's financial goals through effective planning, upselling, and efficient use of resources.
Key Responsibilities:
Serve as the main point of contact for clients from contract turnover through post-event follow-up.
Consult with clients to determine event requirements including room setup, catering, audiovisual, and special requests.
Create and distribute detailed Banquet Event Orders (BEOs) and ensure accurate communication with all hotel departments.
Coordinate with culinary, banquet, AV, and operations teams to ensure flawless execution of events.
Conduct pre-conference meetings with clients and internal staff to review event logistics.
Oversee on-site event operations to ensure service delivery and guest satisfaction.
Monitor event timelines, budgets, and billing to ensure accuracy and compliance with contracts.
Proactively upsell hotel services such as upgraded menus, decor, or additional meeting spaces to maximize revenue.
Resolve client concerns or issues quickly and professionally during events.
Maintain accurate records of client interactions, changes, and event details in the event management system.
Collaborate with Sales & Catering teams to ensure smooth turnover of contracted business.
Assist in forecasting event revenues and contributing to departmental financial goals.
Ensure compliance with brand standards, health and safety regulations, and local laws.
Build and maintain strong relationships with repeat and high-profile clients to encourage loyalty and repeat business.
Qualifications:
Previous experience in Conference Services, Catering, Event Planning, or Banquets (2-3 years preferred).
Background in hotels, resorts, or large-scale event venues strongly preferred.
Strong organizational and time-management skills, with the ability to manage multiple events simultaneously.
Excellent communication and interpersonal skills; ability to work effectively with clients and cross-functional teams.
Proficiency in event management software, Microsoft Office, and property management systems (Delphi/FDC experience a plus).
Ability to anticipate client needs, remain calm under pressure, and resolve problems quickly.
Knowledge of banquet service standards, catering operations, and AV requirements.
Flexibility to work evenings, weekends, and holidays based on event schedules.
Bachelor's degree in Hospitality Management, Business, or related field preferred, or equivalent experience.
