The Executive Assistant II provides comprehensive administrative and strategic support to the Chief Strategy Officer (CSO) of Corporate Strategy and Financial Planning & Analysis (FP&A), with additional support to the Head of Corporate Finance and Directors within the same function. This role is instrumental in optimizing the CSO's time, streamlining operations, and enabling focus on high-impact initiatives. Responsibilities include managing complex calendars, coordinating meetings, speaking engagements and travel, processing expense reports, and supporting special projects and departmental operations.

The Executive Assistant II serves as a trusted partner to Key's senior leadership, ensuring seamless communication, proactive prioritization, and operational efficiency. The role requires a high degree of professionalism, discretion, and adaptability, with regular interaction across all levels of the organization.

Essential Job Functions
  • Executive Calendar & Workflow Management: Own and manage the CSO's calendar with precision, balancing strategic priorities, meeting cadence, and personal bandwidth. Anticipate scheduling conflicts and proactively resolve them to reduce decision fatigue and optimize productivity.
  • Strategic Meeting Support: Prepare agendas, briefing materials, and follow-up documentation for key meetings. Track action items and ensure timely execution to maintain momentum on strategic initiatives.
  • Timely Communication & Responsiveness: Ensure prompt and professional responses to internal and external inquiries. Prioritize requests and follow through to completion, maintaining a high standard of service and reliability.
  • Active Listening & Follow-Up: Engage in active listening to understand context and anticipate needs. Ask thoughtful follow-up questions to clarify requests and ensure accurate execution.
  • Project & Initiative Coordination: Support cross-functional projects and continuous improvement efforts by managing timelines, coordinating logistics, and facilitating collaboration among teams.
  • Onboarding/Offboarding Support: Coordinate onboarding and offboarding processes for staff and contractors, ensuring smooth transitions and system access.
  • Executive Delegation & Systems Access: Act as a delegate for timecards, Workday approvals, and system access requests, ensuring timely and accurate processing.
  • Team Logistics & Event Planning: Plan and execute logistics for team meetings, offsites, and departmental events, including venue coordination, materials preparation, and technical setup.
  • Technical Liaison & Support: Provide basic technical support and serve as a liaison with IT and other technical teams to resolve issues and ensure smooth operations.
  • Office Operations: Order supplies and maintain organized systems for tracking documents, reports, and departmental resources.
  • Stress & Workload Management Support: Monitor the CSO's workload and schedule to identify opportunities for delegation, time-blocking, or reprioritization. Proactively suggest adjustments to maintain a sustainable pace and reduce stress.
  • Relationship Building: Foster strong relationships across departments and with external partners to facilitate collaboration showing professionalism and tact.
  • Flexibility & Adaptability: Remain agile in a fast-paced environment, adjusting priorities and workflows as needed to support evolving business needs.
  • Perform other duties as assigned; duties, responsibilities, and/or activities may change or new ones may be assigned at any time with or without notice.
  • Comply with all KeyBank policies and procedures, including acting professionally at all times, conducting business ethically, avoiding conflicts of interest, and acting in the best interests of Key's clients and Key.
Required Qualifications:
  • High School Diploma or equivalent; 2- or 4-year degree preferred or equivalent experience
  • 3+ years of experience supporting senior executives in a corporate or strategic function
  • High level of proficiency in latest technology; proficiency in MS Office (Microsoft Word, Excel, PowerPoint, Outlook, and Teams)
  • Strong interpersonal skills with a demonstrated ability to build trust and rapport across all levels of an organization
  • Excellent attention to detail and accuracy in work; strong organizational and time management abilities
  • Excellent written, verbal, and interpersonal communication skills; ability to interact, communicate and collaborate with all levels of management and employees, including with Key's Executive Leadership, as well as with external parties
  • Ability to work in a team environment, including assisting analysts and other support staff with coverage, operations, and special projects as they relate to the CSO
  • Project management and analytical skills
  • Ability to handle confidential information with discretion and integrity
  • Demonstrates initiative and resourcefulness in problem-solving and process improvement
  • Maintains an awareness of priorities and is flexible to adapt to changes
