Job Summary: The Executive Director, Medical Operations & Program Management reports to the Head of US Oncology Medical Affairs and is responsible for: (1) leading Project Management for US Oncology Medical Affairs (USMA), overseeing the planning and organization of team resources to move USMA goals and deliverables toward successful completion. They also (2) lead Medical Operations for USMA, overseeing the activities, processes, and systems that USMA uses, with a particular focus on research and data generation activities. Finally, (3) they deliver appropriate Operational support of Incyte-sponsored and supported medical affairs research including interventional and observational studies, real-world-evidence and Health Economics and Outcomes research, collaborative research, and investigator-initiated research. They do this directly and through mentoring, training, and supervising the Medical Operations and Programs team. Essential Functions of the Job: Directly and through mentoring, training, and supervising the Medical Operations and Programs team, lead the following key USMA functions: Project Management: * Assist Head of USMA and partner with other USMA leaders in the development of strategic and tactical plans as well as Goals and Objectives. * Monitor and contribute to the overall project management of USMA programs, goals, and objectives, including identification, escalation, and mitigation of issues. Assist in the development and review of project timelines, priorities and metrics. Oversee departmental aggregate spend reporting in accordance with Incyte policies. * Serve as key member of USMA Leadership Team (USMALT). In addition to oversight role tracking execution across projects, serve as senior leader and provide advice based on core expertise, e.g., on operational feasibility, best practices, and resourcing. * Support cross-functional communication among the MA functional teams through appropriate methods. * Ensure MA team plans and activities are integrated into higher level planning documents and calendars. * Collaborate seamlessly with the MA home office team, field teams, cross-departmental colleagues/stakeholders and external consultants/vendor (agency) representatives to ensure timely, quality execution of activities and projects. Medical Operations and Analytics: * Develop, apply, and monitor metrics, tools, and reports to understand key performance indicators and trends in USMA, with a focus on team goals and data generation. * Develop and implement recommendations for process improvements that help advance medical affairs as a function and USMA as a team, and that help us better achieve our goals. Assist other teams and colleagues to do the same. * Participate in development and maintenance of standard operating procedures (SOPs) for various MA functional groups and activities. * Ensure optimal USMA use of Incyte tools and systems, including those from R&D and Commercial functions as well as cross-geography and cross-therapeutic area teams. * Monitor and manage MA programmatic financial and contracting activities. * For Educational Grants and Sponsorships, Investigator-Initiated Research (clinical, preclinical, and translational), and other core USMA operational functions and agreements: ensure tracking and submissions, review and contracting processes are conducted in accordance with Incyte policies and SOPs. Operational support of research activities: * Work with Head of USMA to ensure USMA team is conducting and supporting research appropriately, according to all appropriate Incyte policies, SOPs, work instructions, and best practices as applicable. * Maintain current and effective training matrix of SOPs and Work Instructions for USMA personnel. * Support training and management personnel in identifying opportunities for training in research skills, tools, and processes. * Ensure medical affairs currency and consistency with R&D process updates. * With appropriate collaboration and stakeholder management, leverage operational expertise to map and support adaptation of R&D processes, and/or creation of medical affairs processes, where the R&D methods are not optimal for the medical affairs research setting. Oversight of Incyte sponsored research: * Ensure Incyte appropriate CRO and vendor management/oversight. * Ensure study startup, execution, maintenance and close-out activities are conducted within projected budget, timelines and in accordance with Incyte SOPs. Independent Investigator Initiated Research (IIR) Programs: * Ensure concept and protocol reviews and study execution, maintenance and close-out activities are conducted within projected budget, timelines and in accordance with Incyte policies, SOPs, and work instructions. Qualifications (Minimal acceptable level of education, work experience, and competency): * Bachelor's degree (B.A., B.S.) is required. Advanced degree in science or business is preferred. * Minimum of 10 (B.A., B.S.) or 8 (M.Sc.) years of experience in the pharmaceutical/biotechnology industry or related fields. * Proven Project Management (PM) experience is required. * Demonstrated expertise with clinical trial operationalization in the pharmaceutical/biotechnology industry setting is required. * Extensive experience with computers, including MS Office Applications (including project management specific applications) is required. Experience with document management, storage and retrieval systems (such as internet-residing databases) is also required. * Demonstrated success in developing effective solutions to complex problems is required. Interest in innovation and ability to inspire teams and lead change is a must. * Prior Medical Affairs experience preferred but not required. Demonstrated ability to understand the operating principles of the various functions within a Medical Affairs organization, and the prerequisites and implications of successful medical support of brand-related projects and initiatives. * Demonstrated ability to respond to tight and urgent timelines is essential. * Documented ability to interact positively and productively with external collaborators/ agencies/ company customers are a must. * Enhanced adoption of techniques and demonstration of skills relevant to customer-centricity are necessary. * Demonstrate success in establishing successful working relationships with a diverse range of internal and external key stakeholders. * Dependable self-starter and capable of working independently on multiple projects with the ability to prioritize tasks and meet strict deadlines. * Must possess excellent organization skills and be able to operate effectively in a heavily metricized organization, where a demanding workload requires balancing multiple responsibilities simultaneously. * Must possess excellent communication and interpersonal interaction skills.
