Facility Space Management Specialist

This position requires an active Public Trust clearance or the ability to obtain a Public Trust clearance to be considered.

The Facility Space Management Specialist oversees the GSA Federal Real Property Profile (FRPP) initiative, ensuring accurate data submission and managing quarterly validation processes. This role is responsible for validating workspace allocations and maintaining precise records of staff locations at both the facility and individual workstation levels. The specialist works closely with the CAD team to ensure all spatial data remains current, consistent, and reliable.

Compensation & Benefits:

Estimated Starting Salary Range for Facility Space Management Specialist: $100k-$115k

Pay commensurate with experience.

Facility Space Management Specialist Responsibilities Include:

  • Oversee the Federal Real Property Profile (FRPP) initiative to ensure accurate, complete, and timely data submissions in compliance with federal reporting standards.
  • Monitor and validate workspace allocations across HHS properties to maintain alignment with organizational space planning policies and federal documentation requirements.
  • Maintain and update space data systems, ensuring that all records reflect current occupancy, staff locations, and facility configurations at both the building and workstation levels.
  • Collaborate with cross-functional teams including CAD specialists, facility managers, and IT personnel to support accurate floorplans, space tracking, and system integration.
  • Conduct periodic space utilization assessments to support informed decision-making regarding facility usage, real estate planning, and resource distribution.
  • Ensure data reliability and integrity by performing regular audits and implementing best practices in data governance related to real property and space management.
  • Support the strategic planning and optimization of facility space by providing accurate reporting, analysis, and recommendations to leadership and stakeholders.
  • Interpret technical drawings and blueprints to verify physical layouts and ensure alignment with digital records and workspace allocation data.
  • Assist in compliance with GSA regulations and internal HHS space standards, serving as a subject matter expert for real property reporting and utilization.
  • Document space planning procedures and maintain historical records, ensuring continuity and transparency for audits, inspections, and organizational reviews.
  • Performs other job-related duties as assigned

Facility Space Management Specialist Experience, Education, Skills, Abilities requested:

  • Bachelor's degree in Facilities Management, Architecture, Engineering, or a related field is preferred; equivalent professional experience will be considered in lieu of formal education.

  • Extensive experience in facility planning and space management, particularly within federal environments, including a strong understanding of federal documentation standards and compliance requirements.
  • Proven proficiency in working with Computer-Aided Facility Management (CAFM) systems and in close collaboration with CAD specialists to maintain accurate spatial data and floor plans.
  • Strong attention to detail and accuracy, especially in maintaining workspace data, tracking staff allocations, and supporting property reporting requirements (e.g., FRPP).
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities and meet strict deadlines.
  • Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams, including IT, space planning, and federal leadership stakeholders.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with data validation, reporting, and record-keeping.
  • Familiarity with federal real property management systems and policies, such as GSA regulations, is highly desirable.
  • Ability to interpret and apply technical drawings, blueprints, and space standards for space utilization and planning purposes.
