Position: Front Office Coordinator

Status: Non-Exempt/ Temporary-Full Time

Supervisor: Business Administrator

Compensation: $19.09 per hour

Department Head: Corps Officers

The approximate start date is immediately until March 2nd, 2026; this is subject to change.

This is a temporary position established to provide coverage during an employee's approved leave of absence. The assignment will commence immediately and is anticipated to continue until the employee's return. Please be advised that the duration of the assignment may be subject to modification based on organizational needs.

Qualifications: Education that enhances business office work skills. Willing to work with distressed and/or marginalized populations. Passionate about serving. Willing to function as a team player. Capacity to multi-task in a fast-paced work environment. Good written and oral communication skills. Understand and follow the policies, practices, and procedures. Demonstrated computer competency. Drivers' license/insurance and be willing to operate a company owned vehicle.

Job Description: The front office coordinator has primary responsibility for general corps/family service office oversight, direction of phone and foot traffic into the office, and volunteer coordination. Support administrative staff and officers in the planning and implementation of department goals and objectives.

General Office Responsibilities:



  • Work collaboratively with others to accomplish common goals and objectives that promote the organization's mission, vision, and values.
  • Assist the officers and executive assistant as needed.
  • Pick up and process USPS mail daily.
  • Ensure that the building is opened and closed at advertised times.
  • Maintain front desk sign-in sheets.
  • Keep the front desk resource binder updated.
  • Retrieve general voicemail messages and forward as appropriate.
  • Work with the administrative staff in keeping the LED reader board current.
  • Maintain phone voice message system with IT support.
  • Submit office supply orders to the executive assistant and maintain the copy rooms in both buildings for daily operational and corps needs.
  • Assist with the development and implementation of promotional materials.
  • Respond appropriately to corps officers' needs and requests for support.


  • Serve as the initial contact for general requests and inquiries.


  • Know and understand organizational programs and services.


  • Provide supervision for volunteer receptionists and job trainees.


  • Be available to do computer data entry work in support of programs and services as needed.
  • Develop and maintain community contacts and resources in cooperation with the appropriate staff.
  • Perform other clerical duties as needed.
  • Attend meetings as requested.


Volunteer Coordination Responsibilities:



  • Take an active role in the recruitment, assessment, registration, processing, and retention of volunteers for organizational needs.
  • Learn and maintain the organization's Volunteer Management System - VMS.
  • Promote volunteer opportunities on social media and where appropriate.
  • Recognize active volunteers on their special days, birthdays, etc.
  • Maintain regular and intentional contact with volunteers.
  • Ensure that each immediate supervisor maintains and reports volunteer schedules for general operational needs.


Seasonal Duties:



  • Assist with the Angel Tree program in the intake, data collection, reporting, correspondence, and distribution process.


Physical Capabilities Required



  • Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.
  • Ability to operate a complex multi-faceted telephone system.
  • Ability to operate a desktop and/or laptop computer.
  • Ability to lift up to 20 lbs.
  • Ability to access and produce information from a computer.
  • Ability to understand oral and written information.
  • Ability to walk, sit, stand, and bend intermittently and/or continuously.
  • Ability to exercise good hand eye coordination (using hand to hand, hand to finger, hand to object).
  • Ability to hear and speak clearly.
  • Ability to see clearly both up close and at a distance.
  • Ability to work independently with minimal supervision.
