Administrative Assistant II to Executives

Sentara Obici Hospital is seeking a highly organized and professional Executive Administrative Assistant to provide executive-level support to our hospital leadership team. This role is ideal for a detail-oriented, proactive individual who thrives in a fast-paced healthcare environment and is passionate about supporting our mission to improve health every day.

Position Overview:

The Executive Administrative Assistant will provide comprehensive administrative support to executives, ensuring efficient operations and effective communication across the hospital. This position requires discretion, excellent judgment, and the ability to manage multiple priorities while maintaining a high level of professionalism.

Responsibilities:

* Manage the VPs complex calendars, including scheduling meetings, appointments, and travel arrangements.

* Prepare and edit correspondence, presentations, reports, and other documents with a high degree of accuracy and professionalism.

* Screen and prioritize incoming communications (phone calls, mail, etc.) and proactively resolve inquiries where appropriate.

* Coordinate and manage logistics for meetings and events, including catering, AV setup, and material preparation.

* Anticipate the VPs' needs and proactively address them, ensuring a smooth and efficient workflow.

* Maintain confidential information with utmost discretion.

* Develop and maintain effective working relationships with internal and external stakeholders, including physicians, board members, and community leaders.

* Manage expenses and process invoices.

* Handle special projects and assignments as requested.

Qualifications:

* Bachelor's degree preferred, but equivalent experience will be considered.

* Minimum of 5 years of experience as an Administrative Assistant supporting C-suite executives, preferably in a healthcare setting.

* Demonstrated ability to handle confidential information with discretion and professionalism.

* Excellent written and verbal communication skills.

* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

* Strong organizational skills, attention to detail, and ability to prioritize tasks effectively.

* Proven ability to anticipate needs and proactively solve problems.

* Experience with travel arrangements and expense reporting.

* Ability to work independently and as part of a team.

* Flexibility and adaptability are essential, including occasional evening and weekend work.

* Experience with event planning and catering is highly desired.
