General Notes

This is a full-timeposition funded by a grant until December 31st, 2026, with the possibility of continuation depending on available funding. Children's Wellness Center is located at 5301-H Ross Road, Del Valle, TX 78617. Our regular clinic hours are Monday through Friday, 8:00 am to 5:00 pm, with occasional weekend hours as needed.

Purpose

The School of Nursing Children's Wellness Center is seeking a friendly and organized Bilingual Front Desk Medical Receptionist (fluent in English and Spanish) to join our team. As the first point of contact for patients and families, you'll play a key role in providing excellent customer service, keeping the front office running smoothly, and creating a welcoming environment for everyone who walks through our doors.

Key Responsibilities
  • Greet and check-in patients and families in a professional, welcoming manner.

  • Answer and route phone calls (English/Spanish) and messages promptly.

  • Assist Spanish-speaking patients with questions and forms.

  • Schedule, confirm, and reschedule appointments; make reminder and recall calls.

  • Accurately register patients in the EHR, process paperwork, and maintain updated records.

  • Provide families with clear instructions on appointments, paperwork, and follow-up care.

  • Scan, upload, and file forms, immunization records, and correspondence.

  • Verify insurance eligibility and benefits prior to visits.

  • Collect copays, balances, and other payments, issue receipts and post transactions.

  • Manage incoming/outgoing mail, faxes, reports, inquiries and office supplies.

  • Adhere to HIPAA and confidentiality standards, safeguarding all patient information.

  • Follow written and verbal instructions with accuracy in all phases of work performed.

  • Demonstrate tact, diplomacy, and discretion when interacting with patients and families.

  • Monitor waiting room activity and provide updates to families.

  • Communicate effectively and maintain positive working relationships with providers, staff, and patients to support smooth clinic flow.

  • Maintain a clean and organized working space and waiting room area.

  • Participate in staff meetings, trainings and quality improvement initiatives.

  • Provide support with other administrative tasks as needed.

Required Qualifications
  • High school diploma or equivalent required; Medical Assistant background highly preferred.

  • Minimum of one (1) year of front desk receptionist experience; healthcare or pediatric clinic experience strongly preferred.

  • Fluency in both Spanish and English (spoken and written) required.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with EHR systems such as EPIC or Athenahealth.

  • Ability to multitask, organize, and prioritize effectively in a fast-paced clinical environment.

  • Strong administrative skills, including medical records management and patient service.

  • Professional appearance, reliable attendance, and courteous demeanor with patients, families, vendors and staff.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Successful completion of an accredited Medical Assistant program.

  • More than one (1) year of experience working as a Medical Assistant.

  • Previous experience as a medical receptionist, preferably in a pediatric or healthcare setting.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).

Salary Range

$34,320 annually
