Position Summary Information
Primary Purpose |
In working with the Sr. Assistant Dean of Advancement at the School of Health Sciences, the Alumni and Donor Relations Specialist is responsible for assisting in promoting engagement and philanthropy to support the
SHS across four campuses (Sacramento, Stockton, San Francisco and Online) and with ten (10) departments of the
SHS, as well as with colleagues across Pacific. This position works with alumni, students, donors, volunteers, and the campus community. The goal is to increase engagement of alumni and donors as well as to increase philanthropic support towards the
SHS / Pacific. |
Essential Functions |
- Annual giving and stewardship of donors:
- Assists in annual giving efforts for the School (Leads Pacific Gives, direct mail, email, crowdfunding, student callers, texting, matching gifts, student philanthropy, calendar year-end giving, etc.)
- Identify, recruit, train and manage volunteers who support fundraising efforts.
- Show impact of gifts and by working with multiple faculty chairs, selecting and spending of the funds chosen. Educate the faculty chairs on choosing the selected funds to drive giving. Works with marketing to create story of giving impact. Manage the impact of gifts to assist with messaging the following year.
- Manages the stewardship process of annual gifts through letters/cards/videos/etc.
- Volunteer Management
- Partners with SHS departments to identify, recruit, train and manage alumni volunteers for various initiatives such as alumni boards, as well as committees within the boards such as alumni of the year.
- Manage alumni board budgets in departments where they exist. Educates other programs on how to begin alumni engagement programs and boards.
- Managing the scholarships process:
- Advises the business finance / ops dept. at SHS, the financial aid officers at the three campuses, and the SHS department scholarship leads to: Guide the application/selection/announcing/thank you note process; Ensure scholarships are credited to student accounts; Stewarding of donors of scholarships; Recording of recipients in Raiser's Edge, etc.
- Event Planning & Execution
- Plan and execute a variety of alumni events, both in-person and virtual, such as reunions, networking events, seminars, volunteer committees, special recognition ceremonies, etc.
- Facilitates collaboration with the Social Media Manager in generating/sending the invitation, promoting the events through social media, sending event reminders, and post event follow up through thank you emails, surveys, sharing pictures, etc.
- Evaluate event success and gather feedback for continuous improvement. Implement strategic improvements to generate greater participation and involvement.
- Ensure events are executed within allotted budget and deadlines are met.
- Partnerships & Collaboration
- Engage with the University's Development / Alumni Relations team, as well as events team, to ensure alignment with university-wide alumni relations strategies and best practices.
- Attend and actively participate in Development and Alumni Relations Division-wide meetings and trainings.
- Data Management & Reporting
- Track, assess and report alumni and donor engagement, including communication strategies (e-newsletters, social media, website updates, texting, emails, direct mail), events, donations and volunteer opportunities through the CRM database.
- Maintain CRM database with information on students in leadership volunteer roles.
- Analyze reports to show data in engagement and philanthropy figures / trends.
- Works to ensure accurate and up-to-date alumni and donor contact information is updated in the CRM database. Collaborates with programs on how best to get accurate information, whether it is through surveys or other means.
- Manages the alumni data list for communications: works with the data scientist colleagues as needed, keeping the information secure and confidential to only parties who need to view.
- Work Environment / Work Week / Travel
- Evenings and weekend are required periodically to accommodate business needs / events. Occasional travel both local and overnight. Valid driver's license required

Minimum Qualifications |
- Bachelor's Degree or equivalent experience. Bachelor's degree or two years of full-time experience in the same or similar position is equal to one (1) year of completed post high school education coursework.
- Two (2) years of experience working in an office setting.
- Intermediate experience using computer software programs, including MS Office Suite and CRM database programs.

Preferred Qualifications |
- Demonstrated knowledge of event planning and coordination.
- Experience in annual giving and / or alumni relations or similar skills from an equivalent role.
- Ability to develop and monitor budgets and schedules.
- Meticulous attention to detail and outstanding organization and time-management skills.
- Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.

Hiring Range |
$68,640 - 73,408 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer. |
