We currently seek an Executive Support Specialistwill provide confidential administrative, technical, and logistical support for the senior management team (6 people) handling tasks like calendar management, expense reports, document review preparation, analysis of project and business unit performance and communication management to ensure efficient operations within the organization.This role requires discretion, excellent communication, strong organizational skills, and the ability to thrive in a fast-paced environment.

Responsibilities

  • Prepare reports, presentations, agendas, and other documents using Microsoft Office Suite (powerpoint, word, excel).

  • Manage calendars and schedule meetings for Senior Management Team, prepare follow up actions for groups and support management of these tasks.

  • Review monthly financials to prepare key metrics report for Senior Management Team including utilization, project updates and status from team.

  • Prepare and process expense reports and support budget review for the SMT, occasionally arrange travel for SMT.

  • Arrange events, dinners, etc as required .

  • Some travel required to attend key meetings with SMT and others.

  • Represent the executive and the company in a positive and professional manner.

  • Maintain confidentiality and exercise good judgment in handling executive matters.

  • Assist with special projects and coordinate activities.

  • Draft monthly management reports and board slides.

  • Review documents and prepare summary.

  • Research and identify material, financial, or personnel needs.

  • And perform other duties as required.

Minimum Qualifications

  • High school diploma or equivalent years of work experience

  • Minimum 3 years' experience providing professional administrative support within accounting, engineering, or construction work setting

Additional Qualifications

  • Excellent written and verbal communication skills, including clear, concise, and professional communication.

  • Strong ability to organize documents, manage time effectively, and meet deadlines.

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and other office software. Training can be provided for any of these.

  • Ability to handle confidential information with discretion and a high level of professionalism.

  • Ability to function well in a fast-paced, high-pressure environment with quick changes.
