Purpose of the Position: As a Permission Facilitator Administrator at Lewis, you will play a key role in supporting our operations team by managing homeowners and utility data, preparing and distributing mailers, and providing critical administrative support across the division. This position requires strong organizational skills, attention to detail, and the ability to collaborate with both field and office staff. Job Qualifications and Requirements:
- Two years of experience in an administrative setting.
- Associate's degree preferred or equivalent experience.
- Strong attention to detail and organizational skills.
- Proficiency in data entry and database management.
- Ability to multitask and prioritize effectively.
- Strong communication skills for coordinating with field and office staff.
- Basic knowledge of DOT regulations and compliance (preferred but not required).
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) or similar tools.
- Must be able to stay organized and work in a fast-paced environment with shifting priorities.
Essential Responsibilities:
- Data Management: Enter utility data into databases, ensuring homeowner information and addresses are accurate and up-to-date. Build and maintain a homeowner database cross-referenced with utility information.
- Mailing Support: Work closely with field operations to identify homeowners requiring mailers. Prepare accurate mailing lists, record tracking information, and ensure detailed and timely communications are sent.
- Field Support: Occasionally accompany Permission Facilitators in the field to provide administrative and logistical support.
- Administrative Assistance:
- Assist with tasks that include the documentation and filing of training documents and assistance with the internal time-keeping system
- Track and record police details and associated costs.
- Manage DOT compliance tasks (filing DOT inspections, pre/post trip records, Med Cards).
- Support General Forepersons with administrative needs.
- Maintain vehicle registrations and keep records current.
- Provide general administrative support across the division as needed.
- Other job duties as assigned.
Work Environment * Primarily office-based work (remote and/or in-office) * Occasional field work to accompany Permission Facilitator outdoors, which may include exposure to varying weather conditions (heat, cold, rain, etc). * Prolonged periods of sitting, keyboarding, and working at a computer. * Ability to lift, carry, and move office supplies, mailers, or equipment up to 25 pounds.
