Summary:
The Centralized Fellowship Coordinator in Pediatrics is responsible for the comprehensive administrative management of multiple pediatric subspecialty fellowship programs. This role ensures compliance with ACGME and institutional requirements, supports program directors and fellows, and serves as a liaison between the Pediatric Education Office, Graduate Medical Education (GME), and external accrediting bodies.

Responsibilities:

Program Administration:

*Coordinate operations of multiple pediatric fellowship programs.

*Maintain program documentation, including rotation schedules, evaluations, duty hours, and, if applicable, case logs.

*Assist with onboarding, orientation, and offboarding of fellows.

*Ensure compliance with ACGME, institutional, and departmental policies.

Recruitment & Onboarding:

*Assist with the fellowship recruitment process, including knowledge of ERAS, communication with candidates, and coordinating centralized in-person visits.

*Coordinate onboarding tasks such as credentialing, licensure, and training modules.

Accreditation & Compliance:

*Support program directors in preparing for ACGME site visits and annual updates.

*Maintain accurate records for accreditation and reporting purposes.

*Monitor fellow duty hours and ensure timely completion of evaluations.

Financial & HR Coordination:

*Collaborate with HR and finance teams on fellow contracts, payment sources, and benefits.

*Track centralized fellowship-related expenses.

Communication & Liaison:

*Serve as the primary point of contact for fellows, faculty, and institutional offices.

*Facilitate communication between programs and the GME office.

*Organize meetings, retreats, and educational events.

Data Management & Reporting:

*Maintain databases and spreadsheets for fellow tracking and reporting.

*Generate reports for program directors, department leadership, and institutional stakeholders.


Other Information

Education Requirements:
* High School diploma or GED
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* Three (3) years of clerical or administrative experience.
* If Bachelor's degree, one (1) year ofclerical or administrative experience.
* If Associate's degree, two (2)years of clerical or administrative experience.
Knowledge/Skills/and Abilities Requirements:

*Attention to detail and ability to manage multiple priorities.

*Professionalism and discretion in handling sensitive information.

*Initiative and problem-solving skills.

*Ability to work independently and collaboratively in a team environment.
