Job Summary

Under the supervision of the Administrative Manager, the incumbent will provide administrative support to the Vice Chair for Child and Adoloescent Psychiatry and Pschology, Division Chiefs and the Chair's Office Administrative Team.

The Administrative Assistant must be able to act independently and cohesively with general supervision to fulfill the overall objective of assuring an efficient and highly organized administrative function. Functions as a gatekeeper, understanding the requirements of the executives and the chair's office to prioritize issues according to urgency and to allocate time accordingly.

The incumbent is responsible for providing project and administraive support, systems access/technical administration, onboarding of staff, and to work in conjunction with and/or act on behalf of their executives and the chair's office. This requires developing a thorough understanding of the practices & policies of the supported units, independently anticipating the needs of the unit, and proactively taking action to address those needs. This position must act with a high degree of political acumen when acting on behalf of the executives and the chair's office, and/or engaging in activities with senior leadership. Must be an independent problem solver and be able to work in a fast-paced high intensity environment.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.03 - $41.55 (Hourly Rate).

Required Qualifications


  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience;
  • Excellent verbal communication and presentation skills; excellent organizational skills and interpersonal skills to work effectively on a diverse team.
  • Proficiency with Microsoft Office.
  • Well-developed organizational and documentation skills; ability to attend to details.
  • Well-developed writing skills.
  • Ability to work effectively in a team-based environment; ability to prioritize tasks and meet multiple deadlines.
  • Ability to work independently; resourcefulness.

Preferred Qualifications


  • Familiarity with UCSF processes and systems; experience and knowledge using Bearbuy, MyExpense, TAO.
