As our Administrative Assistant, you will report to the Sr. Manager Research & Development (R&D). You will be responsible for delivering timely, accurate, and proactive administrative support across a wide range of activities. The ideal candidate will be detail-oriented, resourceful, and able to anticipate needs and take ownership of tasks from start to finish. Strong communication, discretion, and the ability to manage multiple priorities under deadline are essential.

What does an Administrative Assistant do?

  • Administrative partner for R&D, Building Science, Business and Operations Support, New Product Development, Design, and Quality leaders.
  • Manages and coordinates standard work to support, Stage-Gate processes, training events, and internal group meetings and cross- functional program meetings.
  • Independently schedules, prepares for, and supports meetings with full logistics coordination, including room setup, hybrid connectivity, materials, and follow-up notes.
  • Prepares high-quality presentations, reports, and documents in Microsoft Word, Excel, and PowerPoint, ensuring formatting and content align with brand standards.
  • Provides support for intellectual property recordkeeping and audits (patents, NDAs).
  • Manages calendars with confidence and authority to prioritize and resolve conflicts independently.
  • Coordinates domestic and international travel logistics, including visa processing and documentation.
  • Initiates and follows through on expense reporting and purchasing workflows using SAP and PaymentNet systems.
  • Supports onboarding and offboarding processes by partnering with IT, facilities, and HR to ensure seamless execution.
  • Maintains team budget tracking, supply ordering, and monthly reporting needs.
  • Communicates effectively and professionally with all levels of management, vendors, and cross-functional partners.
  • Takes initiative to resolve administrative challenges independently, without waiting for instruction or escalation.
  • Member of the Awards Committee and processing awards for Technology
  • Provides back-up support to other administrative assistants as needed.

Required Qualifications

  • High school diploma or GED required; associate or bachelor's degree preferred.
  • 3-5 years of experience in an administrative, operations, or coordination role, ideally in a corporate or technical environment.
  • Strong proficiency with Microsoft Office tools (Outlook, Word, Excel, PowerPoint, SharePoint);
