The advisor oversees the day-to-day administration of student organizations, including student government associations. Plans, markets, and executes innovative programs, workshops, and events that support student leadership and the development of registered student organizations. Evaluates the effectiveness of programs and interventions and refines programming to meet evolving student needs. Guides and instructs student leaders and advisors and organizations throughout all phases of event planning and approval. Maintains regular contact with student leaders and advisors and responds to student organization needs. Oversees SGA elections.
The advisor supports international education and professional development -- advising international students and ensuring compliance with federal regulations. Serves as Primary Designate School Official and ensure compliance within SEVIS. The advisor ensures that faculty and students participating in faculty led study travel programs comply with all safety requirements and follow IHP policy.
PRINCIPAL DUTIES AND RESPONSIBILITIES Clubs and SGA Advising (60%)
- Advise student organizations, in concert with the Assistant Dean.
- Provide support for SGA elections, and monitoring of budgets, activities, and social media for IHP clubs and organizations
- Assist with planning of developmental workshops for student leaders (including support for faculty advisors and Student Government Association leaders)
- Assist in planning, implementation and assessment of student engagement programming, including but not limited to community-building socials and recognition events, designed to enhance the IHP student experience while supporting the OSAS mission and core values of the Institute
- Update and maintain the resources for student organizations, (including student leadership handbook, club request forms, SGA by-laws). Assist in development of templates for student organizations' recordkeeping (mission statements, goals, bylaws, contact information, executive board role descriptions, etc.)
- Other duties as assigned
Support for International Education (35%) Study Travel (5%) International Student Advising
- Serve as a Principal Designated School Official (PDSO) staying current on the requirements of the U.S. Student Exchange and Visitor Program, on national best practices for advising F-1 and other international students, and related concerns. (Aligning with U.S. Student and Exchange Visitor Program guidance, this position will also be referred to as "International Student Advisor" at times-a term easily recognizable to international students and faculty).
- Review and determine eligibility of prospective students; determine admission and issue immigration documents necessary to obtain the F-1 student visa. Advise students on the process for obtaining the student visa for entry.
- Advise all international students and prospective international students through degree completion to assist with compliance with U.S. regulation, access to Curricular Practical Training and similar developmental opportunities (in conjunction with faculty), and successful adjustment to and engagement in greater Boston.
- Conduct new student orientations for International students.
- Ensure institutional compliance with federal regulations by performing timely and accurate registration and reporting of all F-1 students to the government.
- Advise international alums who apply to stay in the U.S. for post-graduation Optional Practical Training (OPT) as part of their long-term career and professional development.
- Work cooperatively with identified backup DSOs to ensure seamless support for students, serve as lead driver to ensure all DSO's are trained and kept up to date.
Support for Faculty-Led Study Travel
- Advise students about faculty-led study travel options and protocols.
- Manage pre-travel protocols to ensure student compliance with safety and emergency preparedness requirements, working in concert with the Provost office, the Chief Operating Officer, and MGB Risk Management as well as with faculty leading travel.
- Monitor and assist with international communications and logistics during trips
- Develop and track metrics to assess study travel offerings
- Work with relevant stake-holders (faculty, Provost's Office, Bursar) to ensure expense reconciliation for international trips
EDUCATION AND EXPERIENCE QUALIFICATIONS
- Bachelor's Degree Required
- Experience with SEVIS strongly preferred

SUPERVISORY RESPONSIBILITY This position does not supervise any staff but does hire and oversee student workers (e.g., graduate assistants.) in OSAS. FISCAL/BUDGET RESPONSIBILITY The coordinator will be responsible for monitoring student organization budgets, including expenditures and reimbursements, investigating variances, and troubleshooting issues in a timely manner. Ensuring compliance with established budget and operational policies and procedures among student organizations, and reviewing and reconciling monthly expense reports WORKING CONDITIONS Work includes several yearly peak periods of activity with significant deadlines. A typical day will include multiple meetings, in a high traffic, fast-paced office with frequent interruptions. Team-oriented approach and student-centeredness in and enthusiasm for student engagement and professional development through active and passive programming, event planning needed. The role requires regular on-site presence to support student access to services, with the opportunity for a hybrid work schedule. The work may require occasional off-hours (e.g., outside business hours), evening, and/or weekend work (in person and/or remotely). Schedule can be adjusted accordingly with advance approval of supervisor, depending on institutional needs.
