Description

This position reports to VP Talent Management.

Basic Function

Coordinate and support HR initiatives focused on learning and development, performance management, communications and employee engagement. Leverage HRIS systems to support talent management and acquisition strategies and enhance organizational effectiveness.

Essential Duties
  1. Facilitate key HR Learning & Development functions and initiatives in collaboration with VP of Talent Development
    • Research and source both online and in person training courses for specific employee audiences and/or individuals to support their organizational and personal development goals
    • Identify and develop partnerships with training providers, to offer employees relevant training courses in HRIS (Paycom)
    • Develop and/or facilitate in-person and virtual learning and development events including but not limited to:
      • Lunch and Learn Events
      • First Bank Chicago's Explore SeriesAnnual Harassment Prevention Training
      • Annual Performance Review Management Training
      • HR-Specific training topics as needed
    • Evaluate the effectiveness of training programs through pre-training assessments and post-training feedback
    • Oversee the learning management system (Paycom Learning) to ensure efficient delivery and tracking of training completion and reminders
  2. Coordinate HR & HR-related Projects
    • Build and create project plans in MS Planner
    • Develop and/or implement HR projects and initiatives
    • Monitor project progress to ensure timely completion of key deliverables, providing updates to Management or Senior Management when necessary
    • Evaluate project results and conduct evaluations to identify areas for improvement
    • Complete check in meetings with key project team members to track progress or identify concerns
    • Participate in collaborative projects with cross-departmental teams
  3. Assist in administering the HR Communications Strategy
    • Coordinate the creation and distribution of HR communications across multiple channels including email, Microsoft Teams, SharePoint (The Vault) and Cafe & Breakroom displays
    • Participate in First Bank Chicago's cross-functional Communications team, by supporting communication strategies that promote First Bank Chicago's business goals and culture
    • Prepare and update slide decks, flyers and other documents (eg. Annual HR Board Presentation, HR Metrics, recruitment flyers)
  4. Coordination of internal and external bank-wide surveys
    • Coordinate employee engagement survey administration and programs and present results (Crain's 100 Best Places to Work in Chicago)
    • Develop and distribute ad hoc employee surveys as needed.
  5. Support the Talent Acquisition function
    • Administer and provide support for Paycom's Applicant Tracking System
      • Create and maintain job templates, offer letter templates, email templates, approval workflows and other building block pieces of the Applicant Tracking System module
      • Create Job Requisitions, post positions to the Paycom Careers Portal and close out job requisitions when filled or canceled
    • Design and edit recruiting materials such as flyers, emails, applicant handouts, etc.
    • Assist with coordinating and scheduling interviews, when needed
    • Assist VP/Talent Management with coordinating the Summer Intern Program including candidate application, selection, events and presentations
  6. Coordinate Performance Management administrative initiatives
    • Create and edit Performance Improvement Plan (PIP), Performance Discussion and Coaching Discussion templates in Paycom Performance Management Module
    • Assist in designing and implementing annual performance reviews in collaboration with CHRO
    • Audit annual completion of Bank-wide performance evaluations
    • Facilitate performance management training for employees and managers
      • Annual Performance Review Training
      • SMART Goal Training
      • Paycom Performance Discussion Form Training
        • Coaching Discussion Forms
        • Disciplinary Write-ups and Performance Improvement Plans
  7. Develop and maintain HRIS (Paycom) modules
    • Stay current on all product updates and utilize system enhancements as they are developed for Document Management, Reports, Surveys, Talent Acquisition (includes Applicant Tracking) and Talent Management (includes Paycom Learning & Performance Management)
    • Act as a main point of contact for Paycom troubleshooting for talent acquisition and performance management modules
    • Provide Paycom training or user guides to managers when needed
    • Assist in researching new ways Paycom can be utilized
  8. Additional administrative duties:
    • Complete job description updates and master job list updates
    • Assign and monitor employee policy acknowledgements in Paycom as policy updates are approved
    • Assist with department reporting
      • Affirmative Action Report
      • FCRA Report
    • Maintain and update written HR procedures
    • Upload phishing memos into employee files
    • Collaborate with peers across departments through appointed committee roles to drive process improvement and innovation

Qualifications

Knowledge, Skills & Abilities
  • Tact, diplomacy and discretion in dealing with employees and vendors

  • Strong verbal and written communications skills

Training & Experience
  • Bachelor's degree in Human Resources, Business, Psychology, or related field or equivalent related experience
  • 3 to 5 years of progressive Human Resources experience
  • Hands-on experience with Human Resource Information Systems (HRIS)platforms
  • Experience with presenting training content to virtual or live audiences
  • Proficiency in Microsoft Office Suite including:
    • Teams (including Planner) - Demonstrated ability to update Teams channels
    • Outlook - Demonstrated ability to manage calendars
    • Word
    • Excel
    • PowerPoint - Creating, editing and designing presentations

Compensation
  • Expected Salary Range: $67,000 - $85,000
  • Salary will be negotiated based on relevant skills and experience as well as internal equity and alignment with market data.
