JOB SUMMARY

The Sales Administrator at Authentix plays a key role in supporting sales and marketing operations. Responsibilities include managing promotional items, coordinating customer visits, and providing light administrative support to four executives, particularly around travel and meetings. The role also involves maintaining sales pipeline forecasts, handling intermediary and agent contracts, and verifying quarterly commission reports.

Additional duties include working with legal on confidentiality agreements and contract amendments, tracking contract lifecycles, managing promotional inventory, and supporting CRM lead cycle reporting in HubSpot. The administrator also assists with planning visits from customers and government delegations, supports marketing projects, and performs other tasks as directed by the Chief Sales and Marketing Officer.

This position requires close collaboration across departments and contributes significantly to the success of daily sales operations and marketing execution across brand protection, government, and central bank business lines.

KNOWLEDGE, SKILLS AND ABILITIES

Key Skills:

Required Minimum Skills:

  • Highly organized and capable of in-depth analysis
  • Able to team and collaborate with multiple functional groups
  • Refined verbal and written communication capabilities
  • Intermediate skills with Microsoft Excel, PowerPoint, Word, and Outlook
  • Ability to maintain multiple and simultaneous key relationships with senior and executive management
  • Excellent and expressive writing capabilities

Preferred Skills (not required but would prioritize candidate):

  • Intermediate skill level with Adobe Acrobat or Adobe Photoshop
  • Advanced skills with Microsoft Excel and PowerPoint
  • Intermediate skill level in financial analysis and forecasting
  • Bi-lingual in English and additional in either Spanish or French
  • Previous experience in agent contract administration

Experience Required:

Minimum Experience Required:

  • 2 years of experience in a direct or indirect or sales or CRM administration role
  • 5 years of experience in an administrative role supporting multiple senior managers
  • 1 year of experience working with an enterprise CRM system such as Salesforce, HubSpot, or similar
  • 2 years of experience working in a company with a business-to-business sales model where end users are commercial or government organizations
  • Previous experience with enterprise expense reporting systems such as Concur, Navan, or similar
  • General understanding of sales process and conversion cycles of leads, opportunities, and tracking sales progression stages
  • Previous experience interacting with accounting and financial groups
  • Previous experience working with company having international sales or administration function

Preferred Experience (not required but having one or more of these would prioritize candidate):

  • 5 years of experience in a sales administration role
  • 10 years of experience in an administrative role supporting senior managers
  • 2 years of experience working with an enterprise CRM system such as Salesforce, HubSpot, or similar
  • 1 year of experience working in legal sales or agent contract administration role
  • Previous experience in formal project management role
  • Previous experience with government bids or commercial proposal preparation
  • Previous experience with international shipping of parcels or stock
  • Previous experience working with international clients

  • Legally able to work in the United States of America with no restrictions or VISA deadlines requiring future sponsorship
  • Sufficient physical capability to work in an office setting and able to:
  • Lift, push, or pull 25 pounds of weight
  • stand or sit for prolonged periods of time
  • hear and verbally communicate to exchange information in person or over audio devices
  • occasionally stoop, bend, kneel, crouch, reach and twist
  • operate office equipment requiring repetitive hand movement
  • occasionally travel locally in the DFW metroplex to other locations using various modes of private or commercial transportation

Preferred Education and Other Requirements

  • M.B.A. or other graduate degree from an accredited university
  • Certifications in project management, software programs course completion, or other accreditation directly relating to the experience or skillsets required for this position
