Summary
Responsible for overseeing and coordinating administrative operations within a hospital office setting. This role ensures the efficient functioning of administrative processes, managing staff, and supporting the overall strategic goals of the hospital. This role also works closely with senior management to implement policies, enhance operational efficiency, and ensure compliance with healthcare regulations.
Essential Functions
Supervise and coordinate day-to-day administrative functions and office operations.
Develop, implement, and monitor administrative procedures and policies to enhance efficiency and effectiveness.
Oversee and manage administrative staff, including hiring, training, scheduling, and performance evaluations.
Provide guidance and support to staff in resolving operational issues and ensuring adherence to hospital policies.
Ensure that administrative practices comply with hospital policies, healthcare regulations, and accreditation standards.
Address and resolve complex administrative issues and patient concerns with professionalism and efficiency.

Responsibilities include:

  • Assists Administrative Director with the establishment and implementation of systems and procedures
  • Establishes and monitors monthly program dashboards and ensures regular collection of program data for dedicated programs as well as other programs at the direction of leadership; monitors statistics to evaluate performance and facilitate strategies for improvement
  • Provides support to Administrative Director in preparing and presenting various staffing models to ensure efficient care models are in place in current programs and to project accurate staffing needs as related to proposed future initiatives
  • Assists with the recruitment of new staff and coordinates onboarding and training
  • Oversees daily operations in the clinic, working in partnership with Facilities manager, tech support and administrative teams
  • Manages Home Base on-call schedule for clinicians and administrative staff; participates in rotational administrative weekend on-call coverage shared with Administrative Managers and Practice Managers
  • Collaborates on cross-training of administrative team to ensure business continuity and promote teamwork
  • Works on program-wide initiatives and assumes responsibility for or participates in special projects as assigned
  • Assists staff with benefit-related questions and connection to resources, as well as help manage procedures around staff leaves and HR-related transactions
  • Oversees the tracking of clinical and administrative staff scheduled accrual time, approvals, and coverage to ensure continuity of operations

Education
Bachelor's Degree Healthcare Administration required or

Bachelor's Degree Related Field of Study required or

Master's Degree Related Field of Study preferred

Experience

Experience in healthcare administration or related area. 5-7 years required and

Experience in a management or leadership role. 2-3 years required

Strong leadership and team management abilities.

Excellent organizational and multitasking skills.

Proficiency in office software (e.g., Microsoft Office Suite) and knowledge of electronic health records (EHR) systems.

Exceptional communication and interpersonal skills.

Ability to handle sensitive information with discretion and maintain confidentiality.

Strong problem-solving and decision-making skills.
