Occupational Summary

This position has a hybrid work schedule that includes both in-office and remote work. This arrangement changes during peak periods.

This position oversees the financial accounting, reporting, and data integrity functions in the Duke Alumni & Development Database (DADD) and SAP for Alumni & Development Records (ADR). This role ensures that philanthropic activity is accurately recorded, reconciled, and reported in both DADD and SAP. The position also analyzes and reports on philanthropic activity, calculates fees and taxes associated with gifts, manages write-offs of uncollected pledges, assembles and reviews giving data for annual IRS Form 990 reporting, and identifies and implements process improvements (including opportunities for automation). This role serves as a key liaison with Financial Services, Alumni Engagement & Development (AED), Administrative Systems Support (ASM) and Office of Information Technology (OIT).

Work Performed

Financial Accounting & Reporting

- Ensure the accurate, timely, and complete transfer of philanthropic activity between DADD and SAP.
- Reconcile multiple general ledger accounts quarterly and assist in resolving outstanding open items.
- Provide reporting and analysis on gifts, pledges and pledge payments to Treasury Administration, Financial Services leadership, and AED.
- Compile credit card processing charges and other fees and allocate to the appropriate departments.
- Calculate sales tax on gift premiums and allocate to the appropriate departments.
- Prepare and provide regular reporting on departmental budget, including analysis of variances between actual and budgeted results, and verify amounts charged to department are accurate.

Gift & Pledge Management
- Conduct annual pledge review and write-offs, ensuring proper documentation and communication with giving officers.

- Assist gift officers with questions regarding items held in suspense and update gift and/or pledge activity to transfer items from suspense.
- Research and resolve issues with returned checks, chargebacks, and reversals and process refunds using PaymentWorks.

Compliance & Tax Matters
- Oversee the collection, analysis, and reporting of data for annual Form 990 filings.
- Maintain working knowledge of IRS tax laws and regulations related to charitable giving, including donor-advised funds, foundations, IRA distributions, gifts-in-kind, and securities.
- Act as a resource on laws and tax issues affecting gifts. Coordinate with Corporate Tax, University Counsel, and the Gift Policy Committee to ensure compliance.

Data Management & System Oversight
- Design, test, and implement procedures to streamline philanthropic activity processing, with an emphasis on automation.
- Serve as the departmental expert on SAP issues related to philanthropic activity.

Other Responsibilities

- Create documentation/instructions for key work processes.
- Maintain content on ADR web site.
- Lead and support special projects as assigned.
- Perform other duties incidental to the work described.

Required Qualifications

Education/Training

- Bachelor's degree in finance, accounting, or a related field.
- CPA or CPA candidate preferred.

Experience

- Minimum three years of experience in financial analysis, accounting, systems analysis, or data analysis; or an equivalent combination of relevant education and experience.

Skills

- Strong understanding of internal controls and how they are operationalized in a cash handling environment.

- Excellent time management skills and the ability to work in a deadline driven environment.

- Initiative, motivation, and a high level of attention to detail.

- Ability to work independently and in a team-oriented environment.

- Clear, tactful, and diplomatic communication manner with colleagues and donors, and the ability to interact seamlessly with a broad constituency.

- Excellent judgment and discretion - especially in identifying and maintaining confidential information.

- Experience in working with PeopleSoft, SAP, or similar ERP process management software.

- Strong proficiency in Excel and Access.

Anticipated Pay Range:

Duke University provides an annual base salary range for this position as USD $62,694.00 to USD $107,633.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
