Job Title: Accounts Payable Associate

Duration: 3 Months

Location: Westbrook Maine USA 04092

Pay Rate: $25-$29.64 hourly on W2

Location- Hybrid

Requirement- Westbrook office 2X/week (total 8X/month). Wednesdays are encouraged as a "team" day but, the second day is what is best for them.

Schedule: 7:30AM - 4:30PM (EST)

Experience: Entry (0-3 years)

Job Description Summary



  • Performs variety of activities in one or more of the following areas: Accounting: Performs variety of accounts payable, accounts receivable, employee travel data/credit card administration and/or other related data input/posting/maintenance/processing into financial accounts, related systems and other informational databases.
  • Reviews information to input and determines correct procedures.
  • Inputs data, audits for accuracy, responds to, researches questions, and resolves issues as needed; Customer Master File: Maintains centralized customer master data on system.
  • Sets up and maintains account information, including sales, maintenance and other contracts and agreements.
  • Coordinates with sales and other departments to exchange information, clarify policies and resolve customer issues as needed.
  • Understands business and provides support to sales, marketing, customer support, and other areas; Credit & Collections: Performs variety of functions involving collection of accounts receivable and reconciliation of customer accounts.
  • Reviews information to determine account status and contacts customers to collect funds.
  • Negotiates payment arrangements with customers.
  • Maintains system account information, responds to, researches questions, and resolves issues as needed.


PRIMARY DUTIES AND RESPONSIBILITIES:



  • Process and maintain accounts payable, receivable, and customer/employee financial data.
  • Review, verify, and input invoices, payments, and related transactions.
  • Administer corporate credit cards and travel data.
  • Audit, reconcile, and correct financial data to ensure accuracy and compliance.
  • Communicate with vendors, customers, employees, and departments to resolve issues.
  • Manage and update customer master data, accounts, and contracts.
  • Support sales, marketing, and customer service with account and contract information.
  • Perform collections and reconcile customer accounts.
  • Identify and implement process improvements.
  • Train staff on financial systems and procedures.


EDUCATION:



  • High School degree or equivalent combination of education and experience required.
  • Associates degree or equivalent preferred.


REQUIRED SKILLS AND ABILITIES:



  • Data entry skills, including accuracy and speed in a fast-paced, time-critical environment.
  • Ability to work with variety of systems and databases. SAP knowledge preferred.
  • Detail-oriented, patient and thorough.
  • Good customer service skills, with ability to exchange information with wide variety of people.
  • Verbal and written communication skills.
  • Organized with ability to multi-task.
  • Ability to work both individually and as a team player.
  • PC skills, including MS Office.


PHYSICAL DEMANDS:



  • Extensive sitting, phone and computer use.
  • Extend and reach with hands and arms and use hands and fingers.
  • Occasionally required to climb, balance, bend, stoop, kneel or crouch.
  • Specific vision abilities required include close vision, color vision, depth perception, and the ability to adjust focus.
  • Hearing acuity sufficient to effectively communicate via telephone and in person.
  • Ability to communicate verbally on phone and in person.
  • Fluency in the English language.
  • Some travel may be required.


WORK ENVIRONMENT:

General office environment.

Normal office noise level, with occasional moderate noise.
