Summary of Job Duties:The Program Manager is a dynamic leader who helps drive the success of the College of Medicine's Department of Internal Medicine. In this role, you'll oversee one ACGME-accredited and one non-ACGME fellowship while managing vital business operations-from budgeting, finance, and data projects to procurement, travel, and revenue cycle management. As the department's go-to Travel Manager, you'll create efficient systems, streamline reporting, and keep operations running seamlessly. You'll also collaborate closely with the Division Director, Administrator, and Service Line Leadership to coordinate strategic projects, lead special initiatives, and help turn big ideas into results.   • Bachelor's degree plus four (4) years of project/program management experience or

  • Associate's degree plus six (6) years of project/program management experience or

  • High School diploma/GED plus eight (8) years of project/program management experience required.

Additional Information:

Responsibilities:

  • Manage 1 ACGME fellowship and 1 non-ACGME fellowship within Cardiology. Serve as backup to other fellowships as needed.

  • Manage and maintain all documentation and records required for Fellowship Programs to ensure compliance with Graduate Medical Education (GME) accrediting agencies and UAMS College of Medicine policies.

  • Assist Program Directors in developing, implementing, and monitoring fellowship program improvements, didactic curricula, and assessment activities.

  • Coordinate educational activities, in-service and written examinations, and evaluation processes for fellows, faculty, and programs, including 360-degree performance assessments.

  • Oversee application and recruitment processes through ERAS or other platforms, including communication with applicants, scheduling interviews, and organizing faculty selection meetings.

  • Complete all administrative processes for fellows, including onboarding, advancement, graduation, certificate requests, and visa management.

  • Maintain records and data in New Innovations, including attendance tracking, evaluation requests, billing data submission, and reporting requirements.

  • Support Program Directors with meetings and events by scheduling rooms, arranging catering, attending relevant UAMS or national training sessions, and maintaining up-to-date program knowledge.

  • Oversee and approve all departmental and service line travel requests, ensuring appropriate funding, accurate logistics, timely reimbursements, and full compliance with institutional and departmental policies.

  • Serve as the primary point of contact for travel-related inquiries, providing guidance, support, and problem resolution for faculty, staff, and trainees.

  • Organize educational sessions, conferences, and meetings, managing attendance tracking, and collecting evaluations through New Innovations or manual systems.

  • Provides logistical support such as scheduling rooms, arranging food and refreshments, and ensuring smooth event execution.

  • Manages faculty recruitment for the division, creates itineraries, coordinates travel, and coordinates all activities for the recruitment.

  • Purchase educational and research material, supplies, and catering orders. Manages the monthly reconciliation of P-Card purchases. By handling these logistical and financial details, the role ensures that items are reconciled weekly. This position helps troubleshoot issues with outstanding orders, invoices, or exceptions and maintains a cordial working relationship with our Institutional Procurement team.

  • Prepare, track, and maintain a variety of detailed financial reports to support departmental operations. These reports encompass RVW faculty reports, foundation accounts, grant and clinical trial funding, residual fund balances, and other financial reports as needed.

  • Assist with projects and missions as needed to ensure that daily operations run smoothly and that all administrative and logistical tasks are completed efficiently.

  • Back-up support includes procurement activities, Inventory Management, contract management, and vendor communications when primary staff are unavailable.

  • Perform other duties as assigned.
