The Administrative Assistant, under general supervision, performs a variety of complex, responsible, and specialized administrative and office support functions. This position requires attention to detail and the ability to multi-task throughout the day. It requires consistent interaction with drivers as well as various management team members. In addition, the main goal is to ensure accuracy in all clerical functions and communication.

Responsibilities of Position:



  • Review and process completed and outgoing work orders on a daily basis in compliance with all applicable regulation and/or Company policies
  • Maintain excellent and accurate records and files
  • Assist with account payables
  • Complete data entry assignments
  • Schedule delivery/removal work orders for trash carts and recycling carts/bins and maintain accurate tracking files of these services
  • Create and maintain database and spreadsheet files
  • Prepare reports, confidential correspondence and other documents as required (ie. purchase orders, employee forms, inter-company billing, etc.)
  • Maintain inventory of driver and office equipment/supplies
  • Screen incoming calls, visitors, and correspondence and respond to requests and/or relay the message accordingly as needed
  • Work with Safety and DOT administrative departments to ensure compliance of newly hired drivers as needed
  • Assist with dispatching as needed
  • Perform other duties as assigned



Supervisory Responsibility:



  • This position will not manage employees



Skills & Abilities Needed for Position:



  • Must possess excellent professional verbal and written communication skills
  • Very strong organizational skills and detail oriented
  • Ability to work independently and be self-motivated
  • Ability to work in fast-paced environment, while maintaining accurate records for all areas of the position
  • Ability to learn additional Rumpke systems/operations and ability to fill in for other office personnel when necessary



Experience & Knowledge Needed for Position:



  • 3 years administrative experience working with IPAK, and AS/400 is preferred
  • Must have general knowledge of recycling and waste industry
  • Must have a working knowledge in Microsoft Office applications (Word and Excel)



Physical Requirements in a Regular Workday:



  • Frequently lifting/carrying a max of 10 lbs
  • Occasionally lifting/carrying a max of 20 lbs
  • Rarely lifting/carrying a max of 75 lbs
  • Occasionally pushing/pulling a max of 10 lbs
  • Rarely pushing/pulling a max of 75 lbs
  • Occasionally stooping/kneeling/crouching/crawling
  • Rarely climbing and/or balancing
  • Continuously sitting, occasionally standing/walking



Additional Working Conditions/Aspects:



  • Ability to work overtime, weekends, and/or holidays
  • Legally eligible to work in the United States
  • Valid driver's license (if applicable)
  • Must successfully complete pre-employment testing
  • Must be able to read and speak the English language
