Location: Hybrid - Must Work and Live in the State of Michigan

In-office requirement, Lansing Mi - One day per week



Purpose: The Operations Coordinator provides essential operational and project support to the Bureau of Infectious Disease Prevention. Under the direction of bureau leadership, this position collaborates closely with staff across all areas of the bureau to assess, improve, and maintain administrative processes that support internal operations and advance strategic priorities. This role is responsible for developing and maintaining internal procedures, supporting internal communications, coordinating special projects, and assisting with strategic planning efforts. The Operations Coordinator plays a key role in ensuring that bureau operations are efficient, consistent, and aligned with departmental goals.



Duties and Responsibilities:

  • Develop, maintain, and oversee internal bureau communications, including the SharePoint site, organizational charts, staff directories, internal newsletter and phone lines.
  • Oversee records management to ensure compliance with retention policies; assist with FOIA responses and subpoenas.
  • Develop, review, and maintain operational documents, policies, guidance, and training for new or updated processes.
  • Evaluate and improve administrative workflows and internal processes.
  • Coordinate professional development, employee engagement, new staff orientation, and other workforce development activities and events.
  • Support the procurement of IT software and hardware, serving as a liaison between the Bureau and Department of Technology, Management, and Budget (DTMB).
  • Assist with strategic planning activities, including tracking progress and supporting implementation.
  • Assist with the maintenance and content development of bureau program websites.
  • Provide administrative support as needed, including scheduling, purchasing, travel, reimbursements, and approvals.
  • Participate in cross-administration and bureau workgroups as assigned.
  • Assist in public health emergencies and other duties as directed.
  • Always represent the best interests of MPHI and MDHHS.
  • All other duties as assigned.



Qualifications/Requirements:

Education: Possession of a bachelor's degree in any major.

Experience: Two or more years of professional experience with demonstrated increasing responsibility in public health, project management, or program evaluation preferred.

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Effective written and verbal communication skills.
  • Ability to coordinate and collaborate across teams.
  • Proficiency in Microsoft Office applications, including outlook and SharePoint.
  • Competency in Adobe Creative Suite, Canva, or other graphic design software.
  • Strong critical thinking, problem solving, and conflict management skills.
  • Experience organizing and presenting information clearly and effectively.
  • Ability to adapt to changing deadlines and priorities.
  • Ability to organize and coordinate the work of others.



Work Environment and Physical Requirements: Must have reliable home internet connection. A valid vehicle operator's license to attend off-site/in-person meetings, conferences, and trainings. Viewing a CRT or VDT screen over 75% of the time. Position may occasionally require work outside of normal business hours.



RESPONSIBILITY FOR THE WORK OF OTHERS: No assigned responsibility.

IMPACT ON PROJECTS, SERVICES AND OPERATIONS:

This position has a direct impact on the quality of services provided by MPHI to MDHHS.The Project Coordinate is a key member of the State's response to infectious disease threats. The position will provide support to staff at all levels of the Bureau. The position will help ensure compliance with state policy and procedure, as well as effective administrative operations and organizational development across all Bureau programs to help protect the health of Michigan residents.
