We are seeking an accounts payable bookkeeper to join our team. The successful candidate will have prior experience working in a bookkeeper role, be comfortable working in a fast-paced setting, able to meet deadlines, work independently and as part of a team. You'll be part of a great team at a mission-based organization that has earned the designation as a Chicago Tribune Top Workplace for five consecutive years.

Location : Hybrid (TheMorton Arboretum, Lisle IL)

Position Summary: Process and pay invoices utilizing an automated accounts payable system. Analyze vendor invoices, expense reimbursements, check requests, vendor statements, contracts, and other business documents. Work with budget managers and others with purchasing responsibility to ensure the purchasing and payment policies, procedures and processes of the Morton Arboretum are followed.

Essential Functions:




  • Process all invoices electronically via the expense management system; ensure all invoices are properly routed for approval and that payments are issued timely.



  • Train budget managers and others with purchasing responsibility on the proper use of Concur and other Finance Office policies and procedures



  • Respond to vendor inquiries, monitor statements, and research uncleared payments.



  • Obtain as appropriate and maintain a file of W-9s (Taxpayer Identification Number and Certification).



  • Issue 1099s at the end of the calendar year in compliance with mandated requirements and in coordination with the end-of-year close for accounts payable.



  • Reconcile the accounts payable module to the general ledger and ensure integration is running properly.



  • Post the monthly store and postage interdepartmental costs.



  • Log checks received for payment and forward to the appropriate department for coding.



  • Demonstrate alignment with the Arboretum's employee core values.



  • Other duties as assigned.




Qualifications: High school diploma or equivalent required, Associate's degree preferred. 1+ years experience with Accounting software (Concur and Sage Intacct preferred). Basic proficiency in Microsoft Office and experience with Google applications beneficial. Good interpersonal and communication skills required. Ability to handle confidential records with discretion.

Success Factors: Strong customer service orientation. Good organizational and time management skills, at ease with software applications and attention to detail. Accuracy in entering and processing data.

The expected hiring range for this exempt position is annualized at $50,000 - $54,000 based on experience that will be evaluated during the candidate selection process.
