Front Desk Associate (HR Associate Senior) - State Temporary

This is a temporary position. Temporary positions offer some paid leave and may offer partially subsidized state health benefits.

The Maryland Department of Transportation Motor Vehicle Administration (MDOT MVA) is seeking a dynamic agent with focus on delivering premier customer service. The Front Desk Associate (HR Associate Senior) will be the face of the Human Resources Division, as they are the first one that customers will encounter, they will be expected to acknowledge every employee professional and promptly. The incumbent will have the ability to function independently and with a team in the Office of Human Resources and Organizational Development.

Responsibilities include:

  • Greeting all customers and employees (phone or in-person), promptly and professionally
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Using computer software applications such Microsoft Office Suite, databases, and spreadsheets to prepare correspondence, charts, and reports
  • Reviewing and prioritizing all correspondence for Human Resources and Organizational Development
  • Determining which information necessitates immediate attention and disseminates any information to appropriate persons to ensure that administrative issues and other situations that require immediate attention are handled expeditiously
  • Conducting follow-ups on all pending matters and updating the HR/OD leadership staff
  • Maintaining Outlook calendar for scheduling tasks, appointments, and pertinent information for the HR/OD Division
  • Assisting with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Performing periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Performing other duties as assigned.

The ideal candidate will possess the following:

  • Experience using Microsoft Office Suite
  • Ability to multi-task and complete projects accurately under time constraints
  • Knowledge of Human Resources practices
  • Excellent customer service experience
This position is located at the Glen Burnie Headquarters in Anne Arundel County.

Qualifications

Minimum Qualifications

Education: Graduation from a standard high school or possession of a State high school equivalency certificate.

Experience: Three (3) years of general clerical or administrative support experience at least one (1) year of which must have been paraprofessional HR experience involving the application of public sector procedures, policies, rules and regulations to specific employment actions. Appropriate paraprofessional HR experience should have included responsibility for activities such as, preparing and maintaining employment records, calculating salaries; interpreting rules and policies; preparing HR-related reports, counseling employees regarding benefits and obligations, and responding to inquiries concerning employment actions.

Notes:
1. For the HR Associate Senior level one additional year of paraprofessional HR experience as defined above may be substituted for one year of general clerical or administrative support experience.

2. Candidates may substitute equivalent U.S. Armed Forces military service experience on a year for year basis for the required experience.
