The primary purpose of Residential Life is to provide living accommodations that are safe and well maintained. Additionally, these living accommodations provide a learning environment that supports the academic goals of the University. |
| Primary Purpose of Position |
The Associate Director Residential Life, Housing Services provides leadership and development for 1-2 Full-Time Administrative Support professional and 1-2
ACUHO-I Summer Graduate Interns. Additionally, the Associate Director serves on the central leadership team in a department that houses over 3,000 students. The Associate Director provides departmental leadership in marketing, recruiting and assigning of students in the residence halls. The Associate Director supports the educational and programmatic aspects of a residential community through ongoing student development and education of Housing Services' policies and procedures. The Associate Director is also responsible for the overall operation of summer camps and conferences. The Associate Director reports to the Executive Director for Residential Life. |
| Required Knowledge, Skills, and Abilities |
- Experience in conflict resolution, mediation, and application of student development theory in a residence hall setting
- Experience working autonomously and the ability to exercise excellent judgement
- Desire to work with and address the needs of a diverse student population
- Demonstrated organizational and leadership abilities
- Experience as a live-in staff member
- Experience developing departmental processes and project coordination
- Experience with housing software (RMS Mercury, etc.) and Banner
- Experience supervising full-time, Master's level professional staff
- Familiarity with Maxient Student Conduct

Staff Supervision and Development- The Associate Director is responsible for providing leadership, supervision, and development for the staff in Housing Services. Specific responsibilities include
- Hire, train, supervise, develop, and evaluate1-2 Assignment Coordinators that oversee and execute the housing selection and assignments process.
- Select, Train, and Develop ACHUO-I interns who will work with summer camps and conferences.
- Indirectly supervise central office student employees and assist in operation of the central housing office.

Departmental Leadership and Management- The Associate Director is responsible for serving as a member of the department's central leadership team that provides overall leadership and direction within the department. Specific responsibilities include:
- Participating in the creation and development of policies
- Assisting with long-range planning efforts
- Assist the Director with forecasting occupancy and developing revenue and expense budgets based on the projected melt from year to year
- Conduct annual housing rates process including a review of fees with Residence Hall Association Executive Board and Area Councils.
- Assisting in the creation and execution of the mission, vision, and goals of the Department
- Provide weekly occupancy reports
- Maintain departmental calendar

Administration- The Associate Director is responsible for working with the staff in to ensure that administrative and operational procedures are well managed. Specific responsibilities include:
- Ensuring that the overall administrative operations are properly managed. This includes building occupancy, damage billing, management of keys, etc.
- Assist staff with the development of relationships with central office staff, housekeeping, maintenance, and other campus partners
- Ensuring that budgetary and fiscal procedures of each community are well managed
- Oversee the operations of University sponsored off-campus housing and third-party housing partnerships
- Oversee the daily operation of the Housing and Residence Life Central Office
- Manage the Housing & Residence email and communication to students in the residence halls
- Coordinate keys & Swipe Access
- Coordinate check in process including early and late arrivals
- Coordinate daily operations of the housing assignment process, including room changes, occupancy tracking, waitlist management, and roommate matching.
- Respond to customer request and questions via telephone, email, and web
- This position may require evening and/or weekend hours
- Generate reports for area(s) of responsibilities on an ongoing basis
- Provide projections for housing capacity and needs
- Other duties as assigned

Technology - The Associate Director is responsible for ensuring the department is maximizing the use of the departments resident management system. Specific responsibilities include:
- Maintains accurate student housing files and records through database systems as well as paper/non-computerized systems. Works within multiple semesters and multiple systems for accurate housing assignments and records for various student categories.
- Ensure communication to students is accurately and consistently documented in the Housing software
- Ensure Housing assignment software is up to date and current
- Ensure adequate training is provided to residence education staff to properly use the Housing software application
- Use the Housing software to convert manual processes to electronic and paperless
- Provide feedback on the functionality and use of the Housing software
- Implement Housing Assignment process, including marketing and education process for students as well as training for Housing and Residence Life staff.
- Monitors, reconciles and updates charges for housing cancels and assignment billings.
- Reconciles weekly housing occupancy reports for accuracy.
- Compiles reports on retention, and housing cancellations.
- Manage relations with external service providers.
- Conduct billing audits semesterly to ensure housing changes are correct.

Customer Service-The Associate Director is responsible for ensuring the Housing Services' processes and procedures are customer friendly, visual, and consistent.
- Corresponds with incoming and current students regarding occupancy status.
- Edit and proofread all correspondence, reports and materials for publication.
- Performs work of a confidential nature including grade audits and billing.
- Handles confidential information regarding ADA, behavioral/discipline issues, and other sensitive information for current, incoming, and former students.
- Disseminates information, often of a complex nature, to students, prospective students, outside agencies, visitors, parents, etc. that may require explanation and interpretation of established University departmental policies and procedures, and directs individuals to sources of additional information
- Coordinate notifications to all on campus students regarding winter/spring break and end of the year closings.
- Compiles residential data regarding of campus verification.

- Assist staff with the development of relationships with campus partners necessary to manage crisis situations
