Senior individual contributor responsible for driving improvements in accounts receivable performance, reducing aging, and optimizing B2B collections through process analysis, systems expertise, and automation. Acts as the subject-matter expert (SME) for AR systems and automation tools, partners with cross-functional teams (sales, operations, finance, IT) to resolve disputes, and implements scalable workflows to accelerate cash collection and reduce risk.

Key Responsibilities:

  • Lead AR strategy execution for aging reduction and B2B collections while operating as a hands-on individual contributor.
  • Monitor invoice aging daily/weekly; identify trends, high-risk accounts, and escalation candidates.
  • Proactively follow up on overdue accounts with structured outreach (email, phone, portal communications) and coordinate escalation when necessary.
  • Research and resolve issues affecting collections, including damaged goods claims, credit memos, short-pays, allocations, and billing disputes; document root causes and corrective actions.
  • Serve as the systems SME for AR-related platforms (ERP receivables module, collections tools, billing systems, payment portals, and RPA/automation platforms).
  • Analyze existing AR workflows and collections processes to identify inefficiencies, bottlenecks, and compliance gaps.
  • Design, pilot and implement automation and workflow improvements (templates, rules-based collections prioritization, auto-dunning, electronic payment integrations, RPA bots, intelligent reminders, recon automation).
  • Build and maintain dashboards and KPIs (DSO, aging buckets, dispute backlog, promise-to-pay adherence, collections effectiveness) and produce regular performance reports for finance and leadership.
  • Collaborate with sales, customer success, logistics, and operations to resolve root-cause issues that lead to disputes or delayed payments.
  • Create and maintain playbooks, SOPs, and training materials for AR and collections processes; provide training to stakeholders on new systems and workflows.
  • Ensure AR activities comply with internal controls, accounting policies, and regulatory requirements.
  • Lead vendor/third-party relationships for collections or automation tools as needed.

Qualifications:

  • 7+ years experience in accounts receivable, credit, or collections in a B2B environment; proven track record reducing aging and improving cash collection.
  • Strong hands-on experience as an AR systems SME (ERP modules such as Oracle, SAP, NetSuite, or similar) and familiarity with collections automation tools, RPA, or workflow engines.
  • Demonstrated ability to analyze processes and implement automation or operational improvements that deliver measurable results.
  • Deep knowledge of billing, credit memos, allocations, remittance application, and dispute resolution processes.
  • Excellent communication and negotiation skills with customers and internal stakeholders.
  • Proficiency in data analysis and reporting tools (Excel, SQL, BI tools) to build actionable dashboards.
  • Detail-oriented, independently driven, strong problem-solving and project implementation skills.
  • Bachelor's degree in Finance, Accounting, Business, or related field preferred; relevant certifications a plus.

Success Metrics:

  • Reduction in Days Sales Outstanding (DSO) and percentage of past-due receivables.
  • Decrease in dispute resolution time and dispute backlog.
  • Increased collections effectiveness (cash collected vs. billed) and promise-to-pay adherence.
  • Number and impact of automation initiatives implemented (time saved, error reduction).
  • Improved accuracy of allocations and reduced unapplied cash balances

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
