Administrative Clinic Supervisor
Job Summary Supervises clinic operations, typically spanning multiple providers, clinics and / or practices. Subordinates include staff involved with professional operational functions. Oversight of administrative areas such as practice revenue management, billing systems and procedures, facilities and safety procedures, registration, new patient coordination, scheduling, medical records storage and maintenance, insurance authorizations. May also supervise patient support staff such as medical assistants or LVNs, in coordination with the nursing lead.
Reporting to the Clinic Director of the UCSF Dentistry clinic at Park Place, San Mateo, the Administrative Clinic Supervisor is responsible for overseeing patient flow and daily operations to ensure the clinic runs efficiently and effectively. This role plays a key part in implementing departmental policies and procedures, evaluating clinical workflows to enhance efficiency, and promoting a high standard of patient satisfaction.
The Administrative Clinic Supervisor supports management in decision-making and strategic planning, while also serving as a vital liaison among providers, patients, and staff. They collaborate closely with other UCSF departments and external clinics on matters related to patient referrals, care coordination, and communication of UCSF Dentistry services.
In addition, this role oversees the registration/front desk and clinicals supporting staff, including their scheduling and performance management. The position requires occasional evening and weekend coverage. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $91,700 - $137,600 (Annual Rate). Required Qualifications
- Bachelor's degree in related area and / or equivalent combination of experience / training
- At least 5 years of relevant experience in a medical or dental practice, or an equivalent combination of education and experience
- 2+ years of supervisory experience
- Demonstrated supervisory and organizational skills to effectively supervise staff and to manage the complex workflow and multiple priorities involved with clinic / center administration
- Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirement and best practices
- Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters
- Strong analytical and critical thinking skills, with the ability to quickly analyze problems, determine appropriate level of intervention, and develop and apply effective solutions
- Strong interpersonal skills for effective collaborations with all levels of management and staff, consultants, and outside agencies
- Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex administrative, clinical, and technical information in a clear and concise manner, and to prepare and present a variety of reports, documentation, analyses, and project proposals
- Strong knowledge of business software and specialized applications and data management systems used in clinic / center operations
Preferred Qualifications
- Strong knowledge of EPIC
- Prior work experience in an unionized environment
