Position Summary: We have an exciting opportunity to join our team as a Director - Admissions & Financial Aid. The Director for Admissions and Financial Aid manages and leads the day-to-day operations of the Office of Admissions and Financial Aid, overseeing the development, design, strategy, compliance, and implementation of successful admissions and financial aid processes. This position is 100% effort and has oversight of six full-time staff members in admissions and financial aid. The Director works with and is directly responsible to the Associate Dean for Admissions and Financial Aid for carrying out the strategic and tactical initiatives devised by the Associate Dean, Vice Dean, and Dean in pursuit of our office and institutional missions.
Job Responsibilities:
- Oversees and participates in all operational aspects of the department:
- Responsible for overseeing all office operations and reporting on those operations to the Associate Dean in pursuit of strategic direction and mission.
- Reviews and evaluates the office's strategic direction, planning, and leadership to ensure they are appropriately implemented. Works with the Associate Dean to adapt to changes in responsibilities as needed.
- Works directly with the Associate Dean, IIME, and MCIT to manage the collection, analysis, and evaluation of admissions data in pursuit of mission objectives.
- Oversees the process of enrollment management for onboarding all incoming students, including the financial aid awarding process for all incoming and current students.
- Keeps abreast of admissions and financial aid best practices and technology solutions, attending national conferences to identify novel additions to our admissions/recruiting strategy.
- Is knowledgeable about major aspects of the school (e.g., curricular options, student life, financial aid, budget appeals, Institutional and federal aid) to be effective in both the administration of the admissions mission, financial aid mission, and the marketing of the school.
- Oversees the creation of statistical reports to enhance recruitment and retention strategies, yield management, forecasting, projections, and operational efficiency. This includes, but is not limited to, working with the Associate Dean for the identification of desirable metrics and software platforms/dashboards.
- Oversees the implementation of several different AI initiatives with the Data Analytics Manager. Provides clear guidance on direction of new goals and projects.
- Assists Data Analytics Manager in implementing ChatGPT projects for AOA missions and Admissions and Financial Aid.
- Collaborates with partners across the institution to integrate generative AI into projects such as AOA, identifying optimal solutions and incorporating generative AI into existing workflow processes.
- Monitors the creation and preparation of all federal and institutional reports related to financial aid programs to prepare information for the annual LCME report, Department of Education, AAMC, US News and World Report, and other governmental agencies.
- Updates the internal Office of Admissions & Financial Aid policy document to reflect new processes and changes, ensuring it serves as an accurate reference for reporting purposes.
- Ensures that all phases of the admissions process are performed, including preparation of comprehensive data-driven reports, screening, social media screening, interviewing, recruitment, and admissions committee reviews, acceptances, waitlists, and rejections.
- Ensures that all phases of the financial aid process are performed, including preparation of comprehensive data and surveys, students have been offered financial aid services, and providing guidance on loan and scholarship offerings.
- Manages the annual approval of our CSS Profile options to ensure alignment with institutional choices, and communicates with WSQ to implement these changes.
- Ensures admissions and financial aid applications are processed efficiently and promptly, including all written, verbal and digital communication to applicants.
- Oversees the collaborative work being done with the Development Office and Finance while abiding by all relevant (e.g., FERPA, conflicts of interest) regulations.
- Contributes to the optimal faculty staffing of Interviews, Screening, and Executive Committees, collaborating with the Associate Dean on admissions committee composition.
- Is responsible for overseeing the process of screening applications to achieve the strategic direction from the Associate Dean, including reviewing available data through artificial intelligence (AI) means, our data review, and faculty screening review to determine who is selected for interviews.
- Execute ideas from the Associate Dean in advanced ways to incorporate uses of ChatGPT through admissions or financial aid work through.
- Evaluates and executes admission decisions under the supervision of the Associate Dean. Ensures acceptances are sent out accurately based on the Associate Dean and Admissions Committees' decisions in a timely manner.
- Ensures confidentiality of student information and compliance with FERPA.
- Oversees the Alpha Omega Alpha programming for all current NYUGSOM students. Exploring options for expansion to housestaff and faculty. Including but not limited to: Graduate class AOA nominee process and AOA fellowship and programming throughout the year.
- Assists in gathering application information, communication to students, eligibility requirements, and meeting deadline requirements.
- Manage and coordinating the yearly AOA dinner for student honorees, faculty, and staff. This includes but is not limited to: finding a location for the event, receiving approval from finance, managing invitations, and day of coordinating for event.
- Provides leadership, management, and support for the admissions and financial aid team of direct reports:
- Manages and stays abreast of human resource issues, including hiring, firing, performance evaluations, and overall management of the team.
- Implements a hiring process for the Office of Admissions of Financial Aid to pursue when hiring new employees.
- Effectively supervises staff and keeps abreast of staff performance throughout the entire year. Works closely with the Associate Dean to best address human resource issues.
- Develops a competent, productive, and effective staff by supporting and motivating the development of all employees.
- Updates and revises employee job descriptions to provide employees with raises and promotions when necessary.
- Determines areas for improvement and offers assistance in how they can improve. This includes: keeping an organizational timeline all employees tasks and deadlines to ensure they are successful.
- Reviews all submitted resumes for open or recruiting positions and identifies the top three candidates to invite for an interview.
- Onboards new employees and assesses their training needs for the role, coordinating with other employees as necessary to ensure the new hire gets up to speed effectively.
- Responsible for managing the implementation of recruitment and marketing strategies:
- Leads the admissions and financial aid team in developing and implementing physical and digital recruitment/marketing strategies, including the design of promotional materials, print, digital, and web for prospective applicants and accepted students.
- Works closely with other NYU Grossman/NYU Langone Health offices, key college/university constituents, and the NYU parent institution to engage them in recruitment strategies.
- Oversees the campus visit initiative to effectively promote NYUGSOM, focusing on targeting a core group of undergraduate institutions.
- Contribute to the growth of various social media platforms to meet recruitment efforts and targets (e.g., Twitter, Facebook, and Instagram).
- Assist in the promotion of the financial aid literacy program for current students.
- Assist and oversee the admissions and financial aid team in organizing virtual and in-person admissions and financial aid and recruitment events.
- Including but not limited to our First Look Event, Second Look Event, and any informal or formal in person visits for accepted students.
- Meets enrollment goals for assigned target recruitment areas.
- Travels on behalf of the School for recruitment and other medical school-related events.
- Monitor updates for the Admissions and Financial Aid webpage, AMCAS, AMP (Application Management Platform), Kira Talent, FAFSA, CSS Profiles, and any relevant future platforms to ensure deadlines and requirements are consistent and accurate.
- Manages the planning and budgeting for the office, including but not limited to expenses for interview day, recruitment expenses, technology needs, financial aid budgeting, financial aid literacy program, marketing materials, and team-building activities:
- Manages the submission of budget needs and requests for all future employee promotions, ensuring thorough documentation and alignment with organizational financial planning. This includes coordinating with the Associate Dean to gather necessary information and presenting comprehensive proposals for approval of promotion.
Minimum Qualifications: To qualify you must have: 1. Bachelor's degree, experience in graduate and/or undergraduate admissions 2. Three years in admissions-related work 3. Strong organizational and communication skills 4. Proven leadership to drive projects, manage and motivate team members 5. Ability to show success with managing employees. 6. Ability to work independently, and prioritize tasks. 7. Knowledge of standard office practices. 8. Ability to multi-task while paying attention to details. 9. Successful track record of leading and supervising staff to generate and perform tasks necessary. 10. Strong leadership, management, and people skills to work collaboratively with faculty, administration and potential students. Preferred Qualifications: Master's Degree in Education or Business Administration. Five years in admissions-related work at a manager level or higher Qualified candidates must be able to effectively communicate with all levels of the organization.
