Summary:
This position will support the management of patients requiring Specialty Pharmacy Medications. This position will assist patients by providing prior authorization services, including insurance benefit investigation, copay assistance, foundation support, and insourcing the dispensing function of Specialty Medications. This position will require ordering the Specialty medications and deliver to individuals as required.

Responsibilities:

  • 1. Identification and qualification of patients eligible for medication patient assistance programs and foundations. Interfaces with program administrators for reimbursement assistance programs sponsored by the drug manufacturer. Tracks, documents, and reports out cost savings associated with patient assistance drug recovery programs and provides updates to pharmacy management. Provides manufacturer coupons to patients, if available.
  • 2. Assists the pharmacist in all operational activities of the pharmacy in order to optimize customer satisfaction and maximize profitability of the pharmacy. The specific duties would include customer relations, computer and prescription filling, drug orders and inventory, marketing, accounting and any supportive tasks involved with workflow. Responsible for knowledge of the Policies and Proceedures (as they pertain to operations, quality assurance, goals and priorities). Participate in policy development, review and revisions.
  • 3. Customer Service- communicate with patients in a friendly, welcoming manner with greeting provided by management. Completion of updating accurate demographic information such as address, birthdate, insurance information and allergies. Setting up appropriate pick-up or delivery times via telephone or in person. Responsible for conducting a benefits investigation to find a patients insurance information if the patient is unable to provide. The "Service for Excellence" mission provided by YNHH is the main focus. Awareness of all of the "non-negotiables" (10/5 rule, no venting, library voices, AIDET and the Pledge to Service of Excellence).
  • 4. Computer and prescription filling- demonstrates proficiency in cross-funtional areas of the department, including (but not limited to) QS/1, Mckesson ordering process, Epic, Epic Specialty, Emdeon, Macro Helix, INFOR and the DSS website. Responsibilities also include awareness of specific programs (MAP, Workers Comp, Columbus House, etc) and how to process prescriptions within these programs. Responsibility for regulatory awareness and reporting of medication errors through RL Solutions. Fully cross trained and functional in additional disease states.
  • 5. Drug Orders and Inventory - accumulate information on prescription drugs needed. Place and transmit orders daily into Mckesson. Review reports from Macro Helix and the management of our 340B inventory. Report any discrepencies to management and review weekly for prescriptions not picked up and return to stock every 14 days. Review backordered items to see if another source can be ordered. Review and verify 340B reports. Fulfillment of prescription orders in a timely and accurate manner. Maintain the cleanliness and organization of the dispensary, responsible for cycle counts throughout the pharmacy, as well as quarterly review and removal of outdated products. developing PAR levels for inventory in the dispensing system and maintaining them on an ongoing basis. Remain up to date on cold chain policies and procedures. Fully knowledgeable in and functional to pack out all packages. (ie: Parcel service, courier service, all seasons) Work in collaboration with the cold chain study company to assist in seasonal studies. Act as the liaison between the Clinical Coordinator and procurement to obtain new to the market medications. Report out quarterly to Manager, Outpatient Pharmacy Services the new to market medications and new generic products that are available. Inventory management to ensure accurate on hands and accurate days supply on hand.
  • 6. Leadership - Responsible for being primary mentor for new hires into the department and/or students from the technician training course. This will include, but it not limited to, working with other teams to develop a training schedule and being the primary contact person for schedules. Develop and teach a course to the technician training program students. Identify and initiate a quality assurance/quality improvement initiative or a customer service initiative. Recommend and implement a cost savings initiative.
  • 7. Participation - Required participation in community events/health fairs/educational activities. Involvement in a local or national organization. Active participation on a hospital or department committee. Collaboration on a poster presentation.
  • 8. Point of Sale Reconciliation - Ability to complete daily register reconciliation. Capability of running daily reports, investigating and resolving any discrepancies if they arise and communicating them to management and the finance team.
  • 9. Work collaboratively with the Outpatient Pharmacy Technician Supervisor in scheduling Liaisons appropriately to assure adequate and consistent services at all times. Assist with coordinating daily activities of the Liaisons, managing Liaison resources by assisting with recruiting and interviewing, creating new hire orientation checklists and coordinating necessary training, assist with service recovery and identifying root cause analysis of patient concerns or issues. Work with the customer service analyst to document patient concerns or issues for tracking and trending purposes.
  • 10. Delivery Contact Person - Ability to investigate and resolve delivery issues/delays. Communicate with FedEx, SkyCom, and patients in order to resolve delivery issues. Work with the customer service analyst to document delivery issues for tracking and trending purposes.
  • 11. Performs other tasks directed by Manager, Outpatient Pharmacy Services, or other Pharmacy Management team members.

EDUCATION:

High School Diploma or equivalent required with additional broad training in fields such as medical office administration, pharmacy technician, social services or similar vocations generally obtained through completion of associate's degree program, or pharmacy technician program.

EXPERIENCE:

At least 1 year experience at Outpatient Pharmacy Services as a Specialty Pharmacy Liaison II.

LICENSURE:

Active Pharmacy Technician Certification Board (PTCB) certification or equivalent AND active Connecticut Pharmacy Technician Registration without restrictions

SPECIAL_SKILLS:

Strong customer service skills and independant problem solving is a requirement. Must have excellent communication skills and the ability to prioritize and multitask/change tasks frequently and quickly. Knowledge of drug products preferred. Knowledge of requirements of the pharmaceutical industries Medication Patient Assistance Programs is helpful. Must be competent with Microsoft Office applications, including Excel and Access. Must have patient management expertise.

ACCOUNTABILITY:

The Specialty Pharmacy Liaison is accountable to the Outpatient Pharmacy Tech Supervisor, Supervisor Pharmacy Ops, or Associate Director Retail and Specialty Pharmacy for maintaining the highest professional standards.
The position ensures compliance to staffing standards as documented in the Attendance and Punctuality system and completion of all HR performance reviews.
The position is responsible for purchasing and monitoring the financial impact of the pharmacy oncology service line as related to drug recovery and provides monthly financial variance reports to the pharmacy oncology management team.

COMPLEXITY:

The position requires a high degree of planning and discretion ensuring optimization and compliane with various indigent recovery programs. The position requires the ability to apply new ideas, knowledge and skills gained from experience and education to current situation.
