This role builds and maintains relationships with alumni letterwinners to promote the University and the Athletic Department, responding to various letterwinner requests, and develops, conducts, and promotes letterwinner programs and services.

This position requires the ability to work a flexible schedule, including nights and weekends, and travel as needed.

Duties & Responsibilities
  • Assist with the coordination and setup of strategic letterwinner engagement events throughout the year for the Athletic Department.
  • Support the execution of special events ranging from 20-1000+ guests sponsored by ICA (Wildcat Club, A-Club, and all other Departmental events) by helping with logistics such as decorations, menus, volunteers, clean up, set-up, reservations, and basic communications under the guidance of senior staff.
  • Provide general support for events held in Tucson or outside of Arizona to help foster engagement with alumni across the country.
  • Assist in coordinating with outside vendors, such as hotels, printers, caterers, and entertainment as directed by event leads.
  • Assist with coordinating engagement opportunities for letterwinners across the Athletic Department by supporting live and virtual career networking events to connect current student-athletes with letterwinners.
  • Provide logistical and event support for general community relations and heritage efforts for ICA, including non-profit tabling and related outreach activities.
  • Help with the coordination and hospitality for former student-athletes and participants (including walk-on athletes, coaches, managers, cheerleaders, and mascots) during campus visits.
  • Assist in the execution of communication strategies for the A-Club by supporting tasks related to newsletters, social media posts, and other publications under the direction of a supervisor.
  • Provide support for email communications using the Eloqua system, including following templates and assisting in list management under supervision.
  • Assist with content posting and managing basic interactions on social media accounts as directed by the supervisor.
  • Support the creation of content for letterwinner profiles by compiling information and assisting in the drafting of short articles or posts under supervision.
  • Assist with data entry tasks to update alumni and participant information in the database systems under the guidance of senior staff.
  • Provide support in the creation of content for digital platforms and social media, following established guidelines and templates.
  • Support the data entry process for letterwinner awards and program participants, ensuring accuracy and completeness with oversight.
  • Inform current Arizona student-athletes about the history and heritage of Arizona Athletics and the A-Club and work in collaboration with the C.A.T.S. Student-Athlete Development department on programming.
  • Coordinate Letterwinner display updates in the museum.
  • Coordinate and update the Athletics department Sports Hall of Fame database and update annually in collaboration with Communication Services department.
  • Assist with collecting current and former student-athlete photo releases.
  • Receive and facilitate any letterwinner photo and video requests.
  • Assist with managing Alumni letterwinner pages on the Athletics website.
  • Budget accountability.
  • Additional duties as assigned.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
Preferred Qualifications

  • Experience developing alumni engagement programs.
  • Experience with Constituent Relationship Management Software.
  • Ability to learn new software.
  • Experience in a higher education setting.
  • Former Letterwinner.
