* Hybrid: M-Th onsite, Friday remote * Contract to Hire! (Long term) *Description* Office Administration, Relationship Management, and Reporting * Managing schedules and calendars for the executive team - CEO and COO * Preparing for meetings and taking minutes * Preparing and Managing correspondence * Preparing invoices for accounting department weekly * Preparing expense and revenue documents for accounting department weekly * Preparing management-related reports * Overseeing studio inquiries on website, PeerSpace & Giggster platforms *Executive Administrator* On-site/Hybrid - Van Nuys, CA Reporting to: COO and CEO Contract-to-Hire | $30-$35/hr | 36 hours/week (Remote Fridays 9am-1pm) *Role Overview* We're seeking an experienced Executive Administrator to support our CEO and COO, manage office operations, and help drive our mission forward. This is a hands-on role for someone who thrives in a dynamic, purpose-driven nonprofit environment. *Key Responsibilities* * Manage complex calendars and schedules for the executive team * Prepare for meetings, take minutes, and handle executive correspondence * Oversee studio inquiries (website, PeerSpace, Giggster) and coordinate bookings * Prepare and process invoices, expenses, and revenue documents for accounting * Generate management reports and maintain filing systems * Order office supplies and manage vendor relationships * Answer phones and emails, ensuring timely and professional communication * Oversee budgets and invoicing for studio bookings * Attend training sessions as required by grant funders and KITS administrators *Qualifications* Must-Have: * 3+ years supporting executive-level staff * Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) * Strong organizational and communication skills Nice-to-Have: * Experience in nonprofit or entrepreneurial settings * Bachelor's degree in business administration, office/logistics management, or communications * Bilingual Spanish/English *Work Environment & Schedule* * Studio-based in Van Nuys, with remote work on Fridays (9am-1pm) * Occasional evening and weekend availability required *Compensation & Benefits* * Pay: $30-$35/hour (contract-to-hire, 6 months) * Eligible for medical, dental, vision, 401(k), life and disability insurance, HSA, transportation benefits, and paid time off (eligibility and terms apply) *Job Type & Location*This is a Contract to Hire position based out of Los Angeles, CA. *Pay and Benefits*The pay range for this position is $30.00 - $35.00/hr.
