POSITION SUMMARY
The Employment Program Assistant, MFIP Hennepin (Program Assistant) provides general administrative and programmatic support and coordinates administrative details and functions for CLUES Minnesota Family Investment Program (MFIP) in Hennepin County. The Program Assistant is responsible for providing general case management assistance and overall support to the MFIP Employment Coaches and is responsible for the continuous support of employment services for MFIP participants.

This Program Assistant offers linguistically and culturally appropriate services to help clients address and overcome the barriers that prevent them from achieving self-sufficiency, specifically through MFIP, employment, and support services.

Location: CLUES Minneapolis, MN Office

Position Type: Regular

Schedule: Part-Time, 20 hours/week. Generally Monday - Friday Office hours.

Estimated Pay: $21.50 - $23.00 per hour (depending on experience & qualifications).

ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Provide administrative support to Employment Coaches who work with the MFIP program such as data entry, printing and copying, mailing and emailing, filing, note taking, and record keeping utilizing Workforce One (and other data platforms).
  • Support MFIP walk-in days by assisting participants with filling out forms, managing traffic flow, and providing support to Employment Coaches.
  • Provide information to new participants as needed, complete referral process, and register all referrals and new participants in Workforce One platform.
  • Coordinate and manage the MFIP referral queue and process via Workforce One.
  • Schedule appointments to complete program overviews and enrollments for participants.
  • Work closely with Employment Coaches to facilitate program orientation and workshops.
  • Assist in connecting participants with workshops such as Career Planning, Job Search, Job Clubs, Life Skills, National Career Readiness Certificate, CareerForce, etc.
  • Assist MFIP team to connect program participants to appropriate services and resources such as: childcare, housing, mental health services, education, training, etc.
  • Work with Employment Coaches to assist participants with career search activities and pathways to employment, as appropriate and requested.
  • Assist Employment Coaches in collecting participation hours on a weekly and monthly basis, depending on the individual employment plan, and support with data entry and management.
  • Process supportive services in a timely manner.
  • Promote the mission, operating values, and agency services of CLUES within the community.
  • Maintain client confidentiality in accordance with HIPAA, agency policies and other applicable laws, regulations and ethical standards.
  • Carry out all other duties as assigned by supervisor.

QUALIFICATION REQUIREMENTS
Education, Experience & Key Abilities

Required Qualifications:

  • High School Diploma or equivalent with at least 2+ years of working with program support, logistics, administrative assistance, analyzing data, etc. Equivalent combination of education and experience may be accepted.
  • 1+ years of case management experience, highly preferred.
  • 1+ years of experience working with programs such as MFIP, DWP, and/or ABE highly preferred.
  • Proficient in Microsoft Office products including Word, Excel, and Outlook.
  • Experience working with a diverse population and committed to advancing racial equity and opportunities for program participants.
  • Understanding of confidentiality and data privacy.
  • Strong written, verbal, interpersonal, and customer service skills.
  • Must work effectively in a team-structured delivery system.
  • This position requires compassion, collaboration, and excellent customer service to our program participants.
  • A valid driver's license, vehicle insurance, and a reliable vehicle to provide coverage and support for program tasks is preferred.



Language Skills

  • Effective communication in English, both verbally and in writing required.
  • Bilingual in English and Spanish, Somali, or another language highly preferred.
  • Ability to read, analyze, and interpret written materials, maintain accurate documentation, and respond appropriately to questions and requests.



Computer Skills

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and other common software (e.g., database, reporting, client management systems, etc.).
  • Must be willing to attend training to advance technical skills and maintain appropriate skill levels to perform job duties.

Background check

  • Must pass a criminal background check. As a condition of continued employment, staff person may be required to submit to periodic re-verification of these, and additional background checks.
