We are seeking a Group Administrator to support the Financial and Business Services Group (QBA) in the Asymmetric Operations Sector. You will be responsible for the day-to-day activities of administrative support for the group. As a member of our team, you'll contribute to the Sector's success in providing financial and operational services to our technical and program teams. We are passionate about support and with your help, we will remain a valued partner to our Program Management staff.

As a Group Administrator...

  • Your primary responsibility will be providing administrative support to include office/facility moves, conference room support, travel arrangements, meetings (reservations, clearances, authorizations, and expense statements), expense reimbursements, group calendars, discretionary expenses, and ordering/maintaining office supplies.
  • You will establish, publish and manage group administrative procedures, and assist with the QBA SharePoint sites and files. Prepare and review group and program correspondence for accuracy in format, grammar, and punctuation. Organize and maintain group files, logs, and training material. Support routing of documentation.
  • You will assist staff with storage, scanning, destruction, and transmittal of classified materials (i.e., via appropriate, secure channels and/or the APL Document Control Center). Assist the Groups' Security Representatives with maintaining a secure work environment, security training, and preparation for security inspections.
  • You will assist in procurement activities to include, creating new purchase requisitions, responding to procurement audit requests, assist in developing and conducting training, updating processes and procedures.
  • You will serve as the groups' point of contact for human resource activities, such as scheduling applicant interviews and escorting, ensuring successful new hire onboarding, and assisting the group leadership in tracking completion of personnel activities such as performance scheduling in AOS Coaching Tool (ACT).
  • You will serve as groups' Property Associate to handle surplus and location changes of all group property; prepare shipping authorizations and help with preparation of materials for shipment; support Sector property management audits and respond to requests for asset information/status.
  • You will represent the groups as active participants in Sector and Lab committees to establish, eliminate, or improve administrative processes and procedures.
  • You will assist with planning and execution of special events including arrangement and delivery of food and beverages. Assist with sending congratulations and condolences to staff on life events with cards, flowers, or other appropriate means.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess at least 5 years of progressive experience in office administration, or a Bachelor's degree and relevant experience.

  • Are highly organized with experience working expertly in a collaborative multi-tasking environment.

  • Are proficient with MS Office including Word, EXCEL, Outlook, and PowerPoint.

  • Demonstrate excellent written and verbal communication skills including proofreading proficiency.

  • Exhibit outstanding interpersonal skills and an ability to help build a positive work environment

  • Possess a willingness to challenge the status quo and advocate for process changes.

  • Are able to obtain a Secret level Security Clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
