| Brief Summary of Work for this Position |
The Director of Advancement Services for Gift Administration oversees the accurate recording, maintenance, and compliance of all donations and related data within the university's donor database. Reporting to the Assistant Vice Chancellor for Development Operations, this role ensures adherence to
FASB,
GAAP,
IRS, and
CASE guidelines while fostering strong relationships across University Advancement, Finance, and external constituencies. The Director manages a team of three gift processing staff, ensuring timely receipting of donations, pledge reminders, and continuous process improvements. This position plays a key role in maintaining data integrity, supporting reporting accuracy, and promoting a customer-focused environment within Advancement Services.
Key Responsibilities:
- Maintain and secure donation records in the donor database (currently Raiser's Edge) in compliance with regulations.
- Oversee gift processing operations, including receipting and pledge reminders.
- Manage and develop a team of three gift processing staff.
- Collaborate with internal partners to ensure accurate fund creation, payment crediting, and compliance.
- Evaluate and enhance systems and procedures for efficient gift administration.
- Support reporting accuracy by validating giving totals for internal and external stakeholders.
- Build positive relationships across departments and stay current on best practices.

| Minimum Education and Experience Requirements |
- Bachelor's degree
- Five years of gift administration experience
- Knowledge of fundraising principals and CRM systems
- Knowledge of FASB, GAAP, IRS and CASE regulations and guidelines
- Three years of experience managing a team
- Proven ability to work independently, maintain confidentiality, and prioritize assignments.
- Exceptional written and verbal communication skills
- Ability to interact with a diverse team with competing priorities

| Primary Purpose of Organizational Unit |
The Division for University Advancement (UA) is responsible for the following primary goals:
1) Coordinate a campus-wide, comprehensive effort to raise philanthropic funds that support the strategic plan and mission of the university.
2) Manage an inclusive alumni engagement program designed to serve and engage nearly 100,000 alumni as ambassadors, advocates and donors.
3) Strengthen and expand UNCW's donor pipeline through effective discovery, cultivation, solicitation and stewardship strategies.
4) Ensure that external boards (
UNCW Foundation Board, Board of Visitors, Student Aid Association Board, Alumni Association Board of Directors and the Friends of
UNCW) are effective in their mission of supporting
UNCW.
The division's fundraising efforts are enhanced by effective partnerships with the campus community as well as external constituents including alumni, parents, corporations, foundations, volunteers and friends. Development areas include annual giving, leadership annual giving, major gifts, principal gifts, corporate and foundation engagement and planned giving, as well as alumni engagement. Prospect development, events and board management, stewardship, communications and advancement services are support services for the fundraising activities of the division. |
